Our client is seeking an experienced Executive Assistant to provide high-level administrative support to senior leadership. The successful candidate will have prior experience supporting Director-level or senior executives and will be comfortable managing complex calendars, coordinating travel, processing expenses, and serving as a trusted administrative partner. This position requires someone who is tech-savvy, dependable, detail-oriented, and able to work independently with minimal oversight.
Key Responsibilities
- Provide executive-level administrative support to one or more senior leaders.
- Manage complex and frequently changing calendars, scheduling meetings across multiple time zones.
- Coordinate domestic and international travel arrangements, including itineraries and logistics.
- Prepare and process expense reports accurately and in a timely manner.
- Screen and prioritize phone calls, emails, and other communications.
- Coordinate meetings, conference calls, and video conferences while ensuring all logistics are handled seamlessly.
- Maintain highly confidential information with discretion and professionalism.
- Support general office and administrative functions while escalating significant decisions to management as appropriate.
- Prioritize multiple assignments while meeting deadlines in a fast-paced environment.
- Build strong working relationships across internal teams and external stakeholders.
- Utilize Microsoft Office and other business applications to prepare documents, presentations, and reports.
- Demonstrate flexibility to support changing business needs and occasional extended hours when required.
Qualifications
- Prior experience supporting Director-level or senior executives in an Executive Assistant or similar administrative role.
- Proven experience managing multiple complex calendars, travel arrangements, expense reporting, and executive communications.
- Strong organizational, time management, and multitasking skills.
- Excellent verbal and written communication skills with a high level of professionalism and business etiquette.
- Ability to handle confidential and sensitive information with discretion.
- Self-starter with the ability to work independently and take initiative.
- Highly dependable with exceptional attention to detail.
- Tech-savvy and proficient with Microsoft Office Suite and other business applications.
- Ability to quickly learn new systems and adapt to changing priorities.
Preferred Qualifications
- Prior experience supporting executives within the financial services industry.
- Experience supporting Equity Research teams.
- Bachelor's degree preferred.
- Multilingual skills are a plus.
