The Magnet Program Project Coordinator supports the organization’s efforts to achieve and sustain Magnet designation by coordinating project plans, timelines, and deliverables related to Magnet initiatives. This role supports project execution by tracking milestones, monitoring progress, and facilitating communication across interdisciplinary teams. Additionally, this position collaborates with Magnet leadership and nursing teams to ensure timely completion of Magnet-related activities, documentation, and improvement initiatives aligned with organizational goals.
Position Duties
- Project Planning & Execution
- Coordinates project timelines, milestones, and deliverables for Magnet initiatives.
- Maintains project plans and trackers to support progress toward designation and redesignation.
- Supports implementation of project plans and action items in collaboration with program. - Project Tracking, Reporting & Risk Escalation
- Tracks progress of Magnet-related initiatives and maintains dashboards or tracking tools.
- Prepares status updates, summaries, and reports for leadership review.
- Identifies risks, delays, or missed deadlines and escalates as appropriate. - Document Control & Information Management
- Maintains organized electronic filing systems, including document tracking and version control.
- Ensures documents are labeled, stored, and archived in accordance with established standards.
- Uploads and maintains materials in internal repositories and Magnet documentation platforms. - Cross-Functional Coordination & Administrative Support
- Coordinates activities across nursing leadership, councils, quality teams, and stakeholders.
- Manages calendars, scheduling, correspondence, and general office coordination.
- Prepares meeting materials, tracks action items, and ensures follow-up on deliverables. - Meeting, Event & Operational Logistics
- Coordinates logistics for meetings, education sessions, and Magnet-related events.
- Supports preparation for mock surveys and Magnet appraiser site visits.
- Assists with materials, scheduling, audiovisual needs, and basic financial/clerical support (e.g., invoices, expense tracking). - Performs miscellaneous job related duties as requested.
