Responsible for providing clerical support to the President/CEO, COO, and Senior Vice President, Operations at Phoebe Ministries coordinating work within the department as well as with other units and departments; reporting pertinent information to the immediate supervisor; responding to inquiries and requests from Board members, staff, and public.

Responsibilities for an Assistant with Phoebe Allentown:
- Provide executive-level administrative support to the President/CEO and senior leadership.
- Manage calendars, schedule meetings, coordinate travel, and handle correspondence.
- Maintain organized and confidential filing, records, and board documents.
- Prepare agendas, minutes, and materials for Board of Trustees and committee meetings; manage the OnBoard portal.
- Act as liaison between executives, board members, staff, and community partners.
- Support special projects, research, reporting, and event planning.
- Process accounts payable and manage office supplies and petty cash.
- Serve as Corporate Notary of Public.
Requirements for an Assistant with Phoebe Allentown:
- The ability to deliver excellent customer service to all residents, families, and coworkers.
- Bachelor’s degree in a related field of study preferred
- Three years’ experience in related position preferred
- Proficient with Microsoft Suite; proficient reading, writing, grammar, and mathematics skills; proficient customer service, interpersonal relations and communicative skills; proficient typing and data entry and computer skills; proficient note taking skills or ability to transcribe from recorded devices or other equipment; knowledge of and comfortable with the use of various office equipment.
- Proficient organizational and time management skills.
