OBJECTIVE:
The Office Assistant is responsible for greeting visitors and delivering exceptional customer service assistance to customers and other members of the team. This entails answering calls, addressing visitor questions and needs, and providing an overall welcoming environment.
ESSENTIAL FUNCTIONS
- Answer phone calls and direct callers to the appropriate party
- Taking and delivering messages
- Process, sort, and route incoming route deposits
- Prepare special reporting
- Invoice orders
- Provide basic and accurate information in-person and via phone/email to visitors/callers
- Type documents, drafts, and reports for the garment log
- Process customer payments
- Confirm signature during customer order pickup
- Assist with filing
- Demonstrate basic knowledge of Phelps products, services, programs, promotional offers
- Apply shipping charges in system
- Assist with other minor office responsibilities and customer service
- Process mail daily
- Assist with payables
QUALIFICATIONS
- High school diploma or general education degree
- Exceptional oral and written communication skills, including strong spelling, grammar, and punctuation
- Excellent organizational skills, ability to prioritize, and comfortable working independently
- Must be committed to providing outstanding customer service and demonstrate strong interpersonal skills
- Proficient with Microsoft Office applications (Word, Excel, Outlook)
REQUIREMENTS
- One year experience in a position with similar responsibility
