The Administrative Assistant oversees office operations and develops, reviews, and improves policies, systems, and procedures; and generally, ensure the office operates smoothly and efficiently. The Administrative Assistant streamlines office operations to maximize quality and efficiency while reducing costs through analytical, knowledgeable, and organized tactics and procedures with a proactive attitude and strong leadership skills.
Duties & Responsibilities
- Supervising the day-to-day operations of the administrative department
- Developing, reviewing, and improving administrative systems, policies, and procedures.
- Ensuring the office is stocked with necessary supplies and that all equipment is working and properly maintained.
- Working with the accounting and management teams located at N. Potomac MD location to set budgets, monitor spending, and process payroll and other expenses.
- Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions.
- Collecting, organizing, and storing information using computers and filing systems.
- Overseeing special projects and tracking progress towards company goals.
- Building and expanding on skills by engaging in educational opportunities.
- Other duties as required.
Required Skills and Qualifications
- Must be able to work independently and with a geographically dispersed team.
- Bachelor’s degree in business administration, management, or a related field preferred.
- Knowledge of office management responsibilities, systems, and procedures.
- Exceptional leadership and time, task, and resource management skills.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- Proficient in Microsoft Office.
- Proficient in QuickBooks as must.
- Knowledge of accounting, data, and administrative management practices and procedures.
- Knowledge of clerical practices and procedures.
- Knowledge of human resources management practices and procedures.
- Knowledge of business and management principles.
- Computer skills and knowledge of office software packages.
