Duties
- Oversee daily office operations to ensure efficiency and productivity
- Manage schedule coordination, calendar management, and appointment setting
- Handle front desk responsibilities including greeting visitors and managing multi-line phone systems with professional phone etiquette
- Assist with event planning and coordinate logistics for company events and meetings
- Supervise administrative staff and support team management initiatives
- Manage vendor relationships, including vendor management and procurement processes
- Maintain accurate bookkeeping records using QuickBooks or similar accounting software
- Process payroll, handle human resources functions, and assist with employee onboarding and training & development programs
- Oversee budgeting activities and monitor office expenses
- Perform filing, data entry, and general clerical tasks to support office functions
- Ensure compliance with policies related to medical office management when applicable
Requirements
- Proven experience in office administration or office management roles
- Strong organizational skills with the ability to multitask effectively
- Excellent communication skills, both verbal and written
- Proficiency in QuickBooks, calendar management tools, and multi-line phone systems
- Experience with event planning, vendor management, payroll processing, and bookkeeping
- Supervising experience and team management capabilities
- Knowledge of human resources procedures and medical office management (preferred)
- Demonstrated ability to handle clerical tasks such as filing, data entry, and front desk operations
- Ability to work independently with minimal supervision while maintaining attention to detail
- Professional demeanor with strong phone etiquette and customer service skills
