Project Finance Associate

The Project Finance Associate supports the day-to-day financial administration of client projects, with a focus on accurate project setup, data management, reporting, billing support, and financial process coordination. The position works closely with Finance, Project Management, Account Management, and other internal teams to ensure project and financial information is complete, accurate, and maintained timely across applicable systems.

This is a hands-on, detail-oriented role focused on project financial administration and data accuracy rather than technical accounting.

Job Duties and Responsibilities

• Set up, maintain, and close projects across SuiteProjects Pro (formerly OpenAir) and other applicable platforms, ensuring accurate and timely project information
• Create and maintain project records, budgets, billing schedules, resource assignments, dashboards and other required project data
• Compile project financial and statistical data and prepare recurring reports for Finance, project managers, account teams, and leadership
• Assist with tracking project budgets, actual spend, revenue, hours, costs, and profitability
• Review project and financial data for completeness and accuracy and coordinate corrections as needed
• Monitor billing schedules, milestones, and project status information to support timely and accurate invoicing
• Support monthly client invoicing processes through preparation, review, and validation of project and billing data
• Support invoice submission and maintenance of applicable client/vendor billing platforms
• Coordinate with project managers and account teams to resolve missing information, project setup issues, and billing discrepancies
• Assist with revenue tracking and related project finance workflows
• Assist with Accounts Receivable administration and follow-up, as assigned
• Support month-end close activities, including data entry, project reconciliations, and financial reporting
• Serve as a day-to-day resource for project managers and account teams regarding project financial information and applicable systems
• Assist with testing and implementation of system enhancements and process improvements
• Help develop and maintain Finance and project administration standard operating procedures (SOPs)
• Identify opportunities to improve data accuracy, reporting, and process efficiency
• Support special projects and other duties as assigned
