The International Shipping Specialist is responsible for coordinating and executing all exporting activities to ensure the efficient and compliant movement of goods across international borders. This role manages documentation, communicates with carriers and customs brokers, monitors shipments, and ensures adherence to global trade regulations. The specialist works closely with production, sales, logistics, and compliance teams to support on‑time delivery and exceptional customer service.

The International Shipping Specialist is responsible for coordinating and executing all exporting activities to ensure the efficient and compliant movement of goods across international borders. This role manages documentation, communicates with carriers and customs brokers, monitors shipments, and ensures adherence to global trade regulations. The specialist works closely with production, sales, logistics, and compliance teams to support on‑time delivery and exceptional customer service.
Key Tasks
Shipping Coordination
- Prepare, review, and manage all export documentation, including commercial invoices, packing lists, certificates of origin, and bills of lading.
- Arrange international freight through ocean, air, and parcel carriers.
- Monitor shipments from pickup to delivery, ensuring on‑time performance.
- Communicate proactively with customers regarding shipment status, delays, or documentation needs.
- Communicate order status, delays, shortages, or changes to production supervisors and planning teams.
- Collaborate with purchasing and inventory teams to resolve availability issues.
- Support production leaders with updated order priorities or sequencing changes.
- Assist customer service or planning teams with order-related inquiries.
- Ensure full compliance with import/export laws, including U.S. Customs, BIS, EAR, ITAR, and other applicable trade regulations.
- Verify proper HS/HTS classification of products.
- Maintain accurate records for audits and regulatory reporting.
- Work with customs brokers to resolve clearance issues.
- Collaborate with production and warehouse teams to plan shipment schedules.
- Support sales and customer service teams with international shipping requirements, quotes, and lead time estimates.
- Coordinate with finance on export billing and duty/tax issues.
- Evaluate carrier performance and recommend improvements.
- Maintain strong relationships with freight forwarders, brokers, and transportation vendors.
- Identify opportunities to streamline documentation, packaging, and shipping processes.
- Maintain accurate SOPs for international shipping workflows.
- Track key shipping metrics such as on‑time delivery, cost, and transit time.
