The Camp Hill School District is seeking candidates for a Part-Time Administrative Assistant to The Pollock Center position that is available immediately.
Job Summary:
Provide administrative support to all aspects of The Pollock Center’s operations and programming. Assists the Director and full-time staff in all functions, tasks, and responsibilities related to The Pollock Center.
Essential Functions:
Clerical/Public Relations
- Processes incoming and outgoing mail; receives and routes written communications.
- Places, receives, and routes telephone calls and messages and regularly checks for messages.
- Supports the contracting process for facility rentals and ensures insurance coverage is adequate.
- Maintains a regular filing system.
- Reconciles Director’s procurement card purchases.
- Maintains The Pollock Center budget by generating purchase orders, ordering supplies, tracking orders, and maintaining current balance information.
- Arranges for events when requested (room usage, orders lunches, food/beverage).
- Assists in maintaining facility website and social media sites.
- Creates newsletters and social media blasts.
- Prepares and tracks deposits and payments for all of The Pollock Center programs (Pollock, Drama, Summer)
- Maintains Arts Card holder’s database.
- Manages ticketing service and registration.
Personnel
- Coordinates with Director of the Pollock Center and human resources to ensure that volunteers and contractors in the space have been approved prior to the beginning of productions and activities.
- Coordinates staffing for rentals.
- Coordinates and schedules the private instructor spaces.
- Processes all time sheets for private instructors.
Production Support
- Obtain props, costumes, and other production related items, including ordering, in-store purchasing, and picking up items, providing necessary documentation according to school district business office requirements.
- Communicates and coordinates with production staff.
- Assists the production team in turnover between shows, including washing and organizing costumes, returning props to storage, and other tasks as assigned by the supervisor.
- Attend production meetings.
Additional Responsibilities:
- Works flexible hours as needed and assigned, including daytime and evening hours.
- Other duties as assigned.
Qualifications:
High School diploma
Physical Requirements:
Position requires stooping, crouching, reaching with hand and arm, standing in a stationary position, walking at moderate speeds, use of fingers. Person must be able to communicate verbally and to hear with no more than a 40-decibel loss. Vision clarity of near, far and mid-range vision is needed (less than 20 inches and more than 20 feet). Depth perception, ability to focus on objects clearly, with field of vision and ability to identify colors is recommended.
