TITLE: SECRETARY TO THE DIRECTOR OF TRANSPORTATION
REPORTS TO AND IS EVALUATED BY: Director of Transportation
TERMS OF EMPLOYMENT: Full-time 12-month work year; FLSA Non-Exempt.
ANTICIPATED START DATE: ASAP
LOCATION: Transportation
COMPENSATION: In accordance with PESPA Collective Bargaining Agreement
HOURLY RATE: $23.43/hr.
PRINCIPLE FUNCTION: To assist the Director of Transportation by providing secretarial and administrative
services to the Department of Transportation.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Prepare and distribute correspondence, notices, bulletins, telephone messages, “New Hire/Change in Status” forms, etc., in a timely, accurate and efficient manner.
2. Answer telephones and disseminate incoming calls or messages.
3. Maintain an efficient and comprehensive filing system for all administrative functions of the Department of Transportation.
4. Process outgoing mail and distribute incoming mail.
5. Assist in the construction and management of the budget for the Department of Transportation, including, but not limited to, processing purchase orders for both the Department and the Bus Garage and maintaining an inventory of office machines, equipment and supplies.
6. Maintain petty cash fund.
7. Maintain records regarding employee seniority and attendance. Ensure that the appropriate paperwork reporting employee absences is completed and forwarded to the Department of Human Resources in a timely manner.
8. Assist the Director of Transportation in verifying payroll information, including, but not limited to, hours worked, hourly rate, leave taken, etc.
9. Maintain information/files concerning driver credentials and notify drivers of pending expiration in a timely manner.
10. Assist the Director of Transportation in posting vacancies in accordance with the District’s contractual obligations.
11. Assist in the scheduling and routing of public, non-public and special education students.
12. Assist in computerized fuel management system.
13. Develop and post a monthly calendar for all schools for which transportation is provided.
14. Collect and maintain information for state reports.
15. Schedule Sub drivers and aides for maximum daily route coverage. Dispatch drivers and aids on a daily basis, provide support through the radio system.
16. Assist with relaying information between drivers, building principals, special education supervisors, etc., relating to students.
17. Serve as Sub Driver/Aide when necessary.
18. Assume other duties as assigned by the Director of Transportation.
QUALIFICATIONS:
1. High School Diploma or GED required. Associates Degree in Business or a related field preferred.
2. Strong interpersonal and communication skills, including the ability to relate effectively with District employees and parents.
3. Comprehensive awareness of office procedures and administrative functions, as well as exceptional skills in all areas of secretarial work, including, but not limited to, telephone answering techniques.
4. Computer expertise with integrated applications; e.g., word processing, database and spreadsheet, and graphics.
5. Understanding of and commitment to confidentiality.
6. “Class B” Commercial Driver License preferred or willingness to be trained and obtain CLD with S & P endorsements.
7. Any additional or alternative qualifications as deemed appropriate by the Board of School Directors.
