We are seeking a Cosmetic Medical Receptionist for our cosmetic and ENT practice in Princeton, NJ to perform a variety of daily administrative, patient concierge and clerical tasks. Our growing practice includes one facial plastic surgeon and 2 aesthetic nurse injectors with a busy injectable practice as well as many office based surgeries.
As the Cosmetic Medical Receptionist, you will be the first point of contact for the practice. You will support day-to-day operations by performing administrative tasks and ensuring high quality customer service for their patients. The coordinator's duties include offering administrative support across the organization and specifically to the cosmetic patient care coordinator. You will welcome guests and greet people who visit the practice. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.
To be successful as a Cosmetic Medical Receptionist, you should have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. Ultimately, a Cosmetic Clinical Coordinator's duties and responsibilities are to ensure the front desk welcomes patients positively, and executes all administrative tasks to the highest quality standards. Responsibilities:
-Assists cosmetic patient care coordinator for facial plastic surgery and ENT practice
-Schedules appointments and enters appointment date and time into EMR system
-Records when appointments have been filled or canceled
-Contacts patients to confirm appointments. Immediately and politely greets all incoming patients
-Interviews patient or representative to obtain and update patient demographic and insurance information.
-Will learn cosmetic medical photography
-Provide cosmetic surgery quotes for patients
-Manages Botox/Filler patient rewards programs in conjunction with cosmetic patient care coordinator
-Obtains referral information, verifies referral, coverage, and eligibility as appropriate
-Explains practice policies as may be implemented from time to time, including policies on referrals patient financial responsibility, assignment of benefits, payment of accounts, and schedule of charges
-Enters patient admitting information into computer and prints routing form
-Answers patients' questions regarding statements and insurance coverage
-Obtains signed documents from patient in accordance with practice policy, including patient registration forms, statement of financial responsibility, statement of privacy rights and appropriate consents
-Answers telephone and either responds to inquiry, directs caller to appropriate personnel, or initiates a triage slip for response by medical personnel
-Contacts billing department with regard to any patient alerts or outstanding balance issues as may be indicated in the system
-Assists with other medical office needs, including but not limited to assisting in-office procedures, medical records, receiving payments for services provided, and cross training to handle limited technical responsibilities
Requirements
-Proven work experience as a Receptionist, Front Office Representative or similar role
-Experience in Aesthetic medicine is preferred (Cosmetics, Plastic Surgery, Dermatology, Facial Plastic Surgery, Oculoplastic Surgery)
-Proficiency in MS Office, experience with EMR software a plus
-Hands-on experience with office equipment (e.g. fax machines and printers)
-Professional attitude and appearance
-Solid written and verbal communication skills
-Ability to be resourceful and proactive when issues arise
-Multitasking and time-management skills, with the ability to prioritize tasks
-Customer service attitude
-Travel may be required
