What You Will Do
As an Administrative Assistant, you will support the President and Leadership Team through a wide variety of administrative tasks and program development.
Essential Duties & Responsibilities:
- Board Support: Coordinate, prepare, and attend Board of Directors' meetings. Take minutes, maintain files, and distribute board packets.
- Project Management: Manage and advance facility projects involving various stakeholders and assist with fundraising events or grant projects.
- Employee Engagement: Coordinate employee communication for meetings and education; assist with monthly and annual recognition events.
- Clinical & HR Support: Participate in new hire orientation by processing onboarding paperwork and setting up IT connections. Manage the clinical license renewal process and monthly KChecks reporting.
- Administrative Oversight: Manage the retention of facility records, maintain policy manuals, coordinate with external vendors (including UMA campus staff), and provide front-desk telephone coverage as needed.
- Safety & Compliance: Act as a member of the emergency preparedness and safety program, maintaining committee minutes and documentation.
Job Requirements
Education & Experience:
- Required: High School Diploma or equivalent.
- Preferred: Associate degree or some college.
- Professionalism: Prior administrative experience in a busy professional environment.
- Healthcare Knowledge: Experience in long-term care or healthcare settings is highly preferred.
Knowledge, Skills & Expectations:
- Confidentiality: Absolute ability to maintain sensitive and confidential information.
- Technical Proficiency: Skilled in Microsoft Office (Word, Excel, Outlook) and comfortable assisting staff with basic IT tasks/tickets.
- Communication: Effective verbal and written communication skills with strong attention to detail.
- Time Management: Ability to manage multiple competing deadlines and prioritize a diverse workload independently.
- Attitude: A positive, professional, and respectful demeanor with a strong customer service approach.
