ROLE SUMMARY

The Sales & Marketing Coordinator is responsible for generating, managing, and converting leads into booked appointments and signed contracts. This role owns the full front-end revenue pipeline, including inbound lead response, outbound prospecting, marketing channel management, and brand presence.

This position requires high urgency, strong communication, and disciplined follow-through. Success is measured by lead volume, conversion rates, and revenue generated.

CORE OBJECTIVES

  • Generate consistent inbound and outbound leads
  • Convert leads into booked estimates and signed projects
  • Maintain and optimize all marketing channels
  • Build and manage relationships with referral partners
  • Strengthen company brand presence across digital and local channels

KEY RESPONSIBILITIES1. INBOUND LEAD MANAGEMENT

Objective: Maximize conversion of all incoming leads

Responsibilities:

  • Respond to all new leads within 5 minutes
  • Call, text, and message all inbound inquiries
  • Qualify leads based on:
  • Budget
  • Timeline
  • Scope
  • Decision-making authority
  • Schedule estimates and consultations
  • Maintain consistent follow-up until project is closed or disqualified

2. ACCOUNT MANAGEMENT (LEAD SOURCES)Thumbtack

  • Manage incoming leads and communications
  • Request and manage customer reviews
  • Update project portfolio and photos
  • Optimize targeting and job categories
  • Track performance metrics (cost per lead, close rate)

META ADS (FACEBOOK / INSTAGRAM)

  • Manage active campaigns and lead forms
  • Respond to leads immediately upon submission
  • Test new ad creatives weekly
  • Monitor performance and adjust campaigns
  • Coordinate content for advertisements

Google Ads

  • Monitor keyword performance and budget
  • Optimize campaigns for high-converting searches
  • Add negative keywords and refine targeting
  • Respond to inbound calls and form submissions

3. CRM & PIPELINE MANAGEMENT

Objective: Ensure no opportunity is lost

Responsibilities:

  • Track all leads through pipeline stages:
  • New → Contacted → Booked → Estimate → Closed/Lost
  • Maintain accurate and up-to-date CRM records
  • Execute structured follow-up sequences
  • Re-engage cold and inactive leads
  • Report pipeline activity weekly

4. OUTBOUND PROSPECTING

Objective: Create new business opportunities

Responsibilities:

  • Conduct cold email outreach using Instantly
  • Prospect and build relationships with:
  • Real estate agents
  • Property managers
  • Investors and flippers
  • Architects and designers
  • Schedule meetings and partnership discussions
  • Maintain a database of referral partners

5. NETWORKING & BUSINESS DEVELOPMENT

Objective: Build local authority and referral network

Responsibilities:

  • Attend 2–3 networking events per week, including:
  • Chamber of Commerce meetings
  • Real estate and investor meetups
  • Construction and trade events
  • Collect and follow up with new contacts within 24 hours
  • Schedule follow-up meetings and develop relationships
  • Represent the company professionally in all public settings

6. SOCIAL MEDIA MANAGEMENT

Objective: Increase visibility and generate inbound leads

Responsibilities:

  • Post 5–7 times per week across platforms
  • Share:
  • Completed project photos (before/after)
  • Jobsite progress updates
  • Educational content
  • Client testimonials
  • Respond to comments and messages daily
  • Engage with local community groups and posts

7. LOCAL MARKETING (FLYERS & COMMUNITY)

Objective: Generate local awareness and leads

Responsibilities:

  • Distribute flyers in target neighborhoods
  • Post materials on community bulletin boards
  • Utilize QR codes for lead tracking
  • Identify and test high-performing locations

8. WEBSITE & SEO MANAGEMENT

Objective: Improve online presence and lead conversion

Responsibilities:

  • Update project portfolio regularly
  • Add new service pages and optimize existing ones
  • Publish blog content (2–4 posts per month)
  • Improve SEO through keyword optimization and internal linking
  • Ensure website is up-to-date and conversion-focused

9. CONTENT CREATION

Objective: Build authority and trust

Responsibilities:

  • Capture and organize jobsite photos and videos
  • Produce short-form video content
  • Assist in creating marketing materials and ads
  • Maintain a consistent brand voice and message

DAILY EXPECTATIONS

  • Immediate response to all new leads
  • Consistent follow-up on all active prospects
  • CRM updates and pipeline management
  • Outbound prospecting activity
  • Marketing and content execution

WEEKLY EXPECTATIONS

  • Attend networking events
  • Launch and test new ad creatives
  • Update marketing channels
  • Report on key performance metrics
  • Add new content (projects, posts, or blogs)

PERFORMANCE METRICS

  • Number of leads generated
  • Lead response time
  • Appointment booking rate
  • Close rate
  • Revenue generated
  • Cost per lead by channel

PAY STRUCTURE — MARKETING / PIPELINE MANAGERBASE PAY

  • $800/week salary ($41,600/year)

Appointment Commission

  • $20 per set confirmed appointment

Requirements:

  • Qualified (homeowner, real project, service area)
  • Must show (or reschedule show)

Weekly Volume Bonus

  • 20 appointments/week → $500
  • 25 → $750
  • 30 → $1,000

REVENUE COMMISSION

Closed Job Commission

  • 2% of closed revenue from their pipeline

Example:

  • $50K job → $1,000 payout

SIGNED CONTRACT BONUS

  • $150 per signed deal

SPEED-TO-LEAD BONUS

  • Respond to leads within 5 minutes consistently

$100 week

OUTBOUND LEAD BONUS (INSTANTLY / PROSPECTING)

For cold email cold calling networking pipeline:

  • $40 per qualified outbound lead
  • $100 per booked outbound appointment

EARNINGS EXAMPLES

Average Performer:

  • Base: $3,200/month
  • Appointments: $2,500–$3,500
  • Some bonuses
  • Small revenue

$6K–$8K/month

Strong Performer:

  • Higher volume quality
  • Some closed deals

$8K–$12K/month

Killer:

  • High close rate strong pipeline

$12K–$20K /month

Pay: $60,000.00 - $150,000.00 per year
