What are the responsibilities and job description for the Jobsite Administrative Assistant position at PEG Staffing & Recruiting?
We are seeking a dependable, organized Jobsite Administrative Assistant to support a busy construction project in New Florence, Missouri. This is not a traditional corporate office position—you’ll work directly from the jobsite trailer, supporting Project Management and a large field workforce.
This role is ideal for someone who enjoys staying busy, can keep details organized, and is comfortable communicating with a variety of personalities. A major part of the position will involve timekeeping and payroll coordination for 100 electricians, so we need someone who is confident enough to follow up, ask questions, and respectfully push back when information is missing or incorrect.
What You’ll Do
- Collect and review daily timesheets from Foremen.
- Enter employee hours accurately into the timekeeping system.
- Work with Foremen and Payroll to research and resolve time or pay discrepancies.
- Maintain accurate jobsite records and administrative documentation.
- Answer and make phone calls related to project coordination.
- Handle interoffice mail and general correspondence.
- Provide day-to-day administrative support to Project Management.
- Follow up with field personnel to obtain missing information and meet deadlines.
- Assist with additional jobsite administrative needs as they arise.
What We’re Looking For
- 2 years of administrative, accounting support, payroll, timekeeping, or similar experience.
- Construction, skilled trades, industrial, field-service, or similar experience is a plus.
- Proficiency with Microsoft Word, Excel, and Outlook.
- Strong attention to detail and accuracy.
- Ability to prioritize multiple responsibilities in a fast-moving environment.
- Confident and professional communication skills.
- Comfortable interacting with a large field workforce and holding people accountable for required information.
- Team-oriented, adaptable, and willing to jump in where needed.
- Professional, dependable, and able to work independently.
Who Would Do Well Here
We are especially interested in an early- to mid-career administrative professional who enjoys a hands-on work environment. Someone coming from construction, manufacturing, warehouse/distribution, field service, transportation, or another operational environment may transition particularly well.
This is not a corporate-office environment. The right person will be comfortable working onsite around Project Managers, Foremen, and 100 electricians while maintaining professionalism and organization.
