Position Overview
The Service Scheduler plays a critical role in ensuring the efficient operation of our service department. This position is responsible for coordinating service activities, supporting technicians and customers, and ensuring timely and accurate invoicing.
Compensation
- Wage: $20.00–$30.00 per hour (based on experience)
- Hours: 40 hours per week
- Classification: Salaried position
Schedule
- Monday–Friday
- 8:00 AM – 5:00 PM
Primary Responsibilities
- Schedule and dispatch service technicians for both break-fix and preventive maintenance services
- Communicate with customers to identify equipment issues and determine required services
- Verify warranty and service contract coverage, explaining applicable terms, provisions, and exclusions
- Send out service estimates to customers that have been put together in house by the service manager or PM Coordinator
- Create and manage service orders (SOs) in the service management system
- Obtain customer approvals and maintain clear communication regarding scope, pricing, and timelines
- Maintain strong customer relationships by addressing questions, concerns, and service needs
- Coordinate and quote rental equipment when needed, while managing rental fleet availability
- Maintain accurate equipment service records, including identified issues and planned corrective actions
- Ensure all completed service orders are invoiced within a 48-hour turnaround
Additional Responsibilities
- Help the PM Coordinator manage and maintain preventive maintenance schedules, ensuring all services are completed within the designated service month
- Proactively coordinate upcoming PM services with customers and confirm that all required parts are in stock or on order at least one month in advance
- Optimize service department performance by utilizing service metrics and forecasting labor and parts revenue
- Increase parts sales by recommending and upselling standard consumables during service order creation
- Continuously improve knowledge and skills through training and development opportunities
- Support overall department efficiency by taking initiative and contributing to process improvements
Qualifications
- Strong organizational, communication, and time management skills
- Exceptional customer service abilities
- Proficiency in Microsoft Office (Word, Outlook, Excel)
- Ability to learn and effectively use CRM and dispatching software systems
- Ability to manage multiple priorities in a fast-paced environment
