POSITION SUMMARY
Under the direction of the CEO, the Executive Assistant (EA) provides comprehensive administrative, organizational, and project management support across all businesses. The EA serves as the primary point of contact for scheduling, communications, and daily operations. This role ensures the CEO’s time and priorities are managed effectively while supporting the financial, administrative, and operational needs of the organizations.
The EA works closely with the CEO and leadership team, acting as a trusted partner to maintain efficiency, streamline workflows, and provide high-level support across Pediatric Speech Lab, Speech Lab University, and Curl IQ.
ROLE AND RESPONSIBILITIES
Stewardship
▪ Maintain confidentiality and professionalism while handling sensitive business, financial, and client information.
▪ Demonstrate reliability and punctuality in daily and weekly meetings with the CEO (daily 9:30 AM debrief and Monday 11 AM project review).
▪ Uphold company policies, procedures, and best practices.
Calendar & Schedule Management
▪ Manage and prioritize the CEO’s daily, weekly, and long-term calendar.
▪ Schedule and confirm meetings, appointments, conferences, and travel arrangements.
▪ Anticipate scheduling conflicts and proactively resolve them.
Communication & Customer Experience
▪ Monitor and manage CEO emails; flag urgent issues and draft responses as needed.
▪ Screen calls and inquiries, route appropriately, and maintain a professional presence in external communications.
▪ Prepare agendas, take notes, and track follow-up items from meetings.
Technical Performance and Precision
▪ Process, track, and manage invoices, reimbursements, and business-related payments (particularly for Curl IQ).
▪ Support ongoing projects by coordinating deadlines, deliverables, and communication with staff and external partners.
▪ Assist in preparing presentations, reports, and documents.
▪ Maintain organized digital filing systems.
Event & Travel Coordination
▪ Plan logistics for conferences, trade shows, speaking engagements, and team events.
▪ Coordinate travel itineraries and accommodations for the CEO.
Learning and Professional Growth
▪ Stay informed of new technology and tools that can improve efficiency and business operations.
▪ Participate in ongoing training, evaluations, and professional development as required.
QUALIFICATIONS AND JOB REQUIREMENTS
Education and Experience
▪ GED or Diploma required; Associate or Bachelor’s degree preferred.
▪ 2 years’ experience in executive support, administration, or project coordination.
▪ Experience supporting multiple organizations or executives preferred.
Skills and Abilities
