Job Overview
We are seeking a professional and organized Front Desk Receptionist to join our team. This role is essential in providing exceptional customer service, managing office operations, and ensuring smooth daily activities. The ideal candidate will have strong administrative skills, proficiency with office software, and excellent communication abilities. Bilingual skills are a plus, as well as experience in office management or medical/dental reception. The position offers an opportunity to work in a dynamic environment where organizational skills and attention to detail are highly valued.

Duties

  • Greet visitors and clients warmly, providing a positive first impression
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule appointments and manage calendars using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and maintain accurate records using QuickBooks or similar software
  • Handle correspondence, proofread documents, and ensure accuracy in all communications
  • Support office management tasks such as bookkeeping, inventory management, and supply ordering
  • Assist with customer support and provide information about services offered
  • Maintain a clean and organized reception area to promote a professional environment
  • Manage administrative tasks including typing reports, managing emails, and supporting other clerical duties

Experience

  • Prior office experience or administrative support roles preferred
  • Familiarity with front desk operations in medical or dental settings is advantageous
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
  • Experience with multi-line phone systems and customer service best practices
  • Bilingual abilities are highly desirable to assist diverse clientele
  • Strong organizational skills with the ability to multitask efficiently and prioritize responsibilities effectively
  • Excellent phone etiquette, proofreading skills, and attention to detail
  • Knowledge of bookkeeping or QuickBooks is a plus but not required
  • Personal assistant or office management experience can be beneficial for this role

This position requires a professional demeanor, excellent organizational skills, and the ability to handle multiple responsibilities efficiently. Candidates should demonstrate strong communication skills, technical proficiency, and a commitment to providing outstanding customer service.

Job Type: Part-time

Pay: $16.00 per hour

Expected hours: 16 – 24 per week
