Duties
- Greet visitors and clients warmly, providing a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and manage calendars using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and maintain accurate records using QuickBooks or similar software
- Handle correspondence, proofread documents, and ensure accuracy in all communications
- Support office management tasks such as bookkeeping, inventory management, and supply ordering
- Assist with customer support and provide information about services offered
- Maintain a clean and organized reception area to promote a professional environment
- Manage administrative tasks including typing reports, managing emails, and supporting other clerical duties
Experience
- Prior office experience or administrative support roles preferred
- Familiarity with front desk operations in medical or dental settings is advantageous
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
- Experience with multi-line phone systems and customer service best practices
- Bilingual abilities are highly desirable to assist diverse clientele
- Strong organizational skills with the ability to multitask efficiently and prioritize responsibilities effectively
- Excellent phone etiquette, proofreading skills, and attention to detail
- Knowledge of bookkeeping or QuickBooks is a plus but not required
