We are seeking a highly organized, proactive, and compassionate Surgery Scheduler & Dialysis Patient Coordinator to join our team. This full-time position (Monday–Friday) plays a critical role in coordinating procedural care across outpatient, ASC, and hospital settings, with a strong emphasis on vascular and dialysis patient populations.
Position Summary
The Surgery Scheduler & Dialysis Care Coordinator is responsible for the end-to-end coordination of surgical and procedural scheduling, including outpatient procedures, ASC cases, and hospital-based vascular interventions.
This role serves as a central liaison between patients, physicians, dialysis centers, hospitals, and internal clinical teams, ensuring seamless scheduling, authorization, and continuity of care. The position requires strong operational awareness, attention to detail, and the ability to manage high-volume, multi-site scheduling workflows.
Core Responsibilities
1. Surgical & Procedural Scheduling
- Coordinate and schedule procedures across:
- Outpatient clinic
- Ambulatory Surgery Center (ASC)
- Hospital settings
- Align physician, anesthesia, facility, and equipment availability to optimize scheduling efficiency
- Maintain and update surgical schedules in real time; communicate all changes promptly
- Ensure appropriate case prioritization based on urgency and clinical need
2. Dialysis Patient Coordination
- Serve as primary coordinator for dialysis-related vascular procedures
- Schedule and manage access procedures (e.g., fistula, graft, catheter-based interventions)
- Liaise with dialysis centers to coordinate timing of treatments and procedures
- Ensure continuity of care between dialysis units, nephrologists, and procedural teams
3. Hospital & Physician Coordination
- Schedule hospital-based procedures for vascular surgeons and interventional radiologists
- Communicate with hospital staff regarding case logistics, availability, and requirements
- Collaborate with nephrologists and referring providers to align care plans and scheduling
- Facilitate clear, timely communication across all stakeholders
4. Patient Communication & Education
- Act as primary point of contact for procedural patients
- Provide detailed pre-operative instructions (fasting, medications, arrival times, etc.)
- Address patient questions and concerns related to scheduling and procedures
- Support patients in navigating the healthcare system with a high-touch, service-oriented approach
5. Authorizations, Insurance & Compliance
- Verify insurance eligibility and benefits
- Submit and track prior authorizations for all procedures (ASC, outpatient, hospital)
- Ensure documentation supports medical necessity and payer requirements
- Maintain compliance with regulatory and payer guidelines
6. Pre-Op & Post-Op Coordination
- Coordinate all pre-procedure requirements (labs, imaging, clearances)
- Ensure completion of required documentation prior to procedure
- Schedule and manage post-operative follow-ups and imaging
- Collaborate with clinical teams to ensure smooth patient transitions
7. Documentation & Record Management
- Maintain accurate and up-to-date scheduling records
- Document patient interactions, scheduling notes, and case details in the EMR
- Track procedural workflows to ensure completion and follow-through
8. Cross-Coverage & Operational Support
- Provide backup support for:
- Outpatient procedure scheduling
- ASC scheduling workflows
- Authorization processes
- Assist in managing schedule gaps, cancellations, and add-on cases
- Support overall clinic and procedural flow efficiency
Qualifications
Education
- High school diploma required
- Bachelor’s degree in healthcare administration or related field preferred
Experience
- Required:
- Surgical scheduling experience (ASC, outpatient, and/or hospital setting)
- Medical scheduling or care coordination experience
- Authorizations and insurance verification experience
Skills & Competencies
- Strong organizational and time-management skills in a high-volume environment
- Excellent communication and interpersonal abilities
- Ability to manage multiple priorities with attention to detail
- Proficiency in EMR systems and scheduling software
- Understanding of healthcare workflows, insurance, and authorizations
- Bilingual (English/Spanish) preferred
