Your Role as a Volvo Service Advisor

As the Service Advisor, you will be the main point of contact for customers, providing a welcoming and personalized service experience from arrival to vehicle pick-up. You will assess customer concerns, coordinate with technicians, and clearly communicate recommended services, timelines, and costs.

This role combines customer service and administrative responsibilities, including scheduling appointments, managing repair orders, and tracking service progress. Success in this position comes from strong communication, attention to detail, and a commitment to delivering a smooth, professional, and customer-focused experience.

Shift: Full-Time, Monday through Friday

Compensation: $70,000 - $120,000 annually

 

Duties and Responsibilities

  • Greet customers promptly in a friendly, professional manner and obtain accurate customer and vehicle information.
  • Schedule service appointments, answer incoming calls, respond to inquiries, and direct calls to appropriate personnel.
  • Identify vehicle concerns by consulting with customers, reviewing service history, performing visual inspections, and conducting or coordinating test drives as needed.
  • Prepare clear and accurate repair orders, including customer concerns, labor and parts estimates, and promised completion times.
  • Review inspection results with customers, recommend necessary maintenance or repairs, and obtain proper authorization for all work performed.
  • Monitor repair progress, communicate updates or changes in cost/timing, and ensure customer approval for any additional work.
  • Explain completed services, charges, and maintenance recommendations to customers upon vehicle delivery.
  • Manage administrative tasks including obtaining signatures, collecting payment repair orders, verifying payment methods, securing credit approvals, and maintaining accurate service documentation.
  • Coordinate workflow with dispatch and notify appropriate personnel of incoming and ongoing work.
  • Review and close repair orders to ensure accuracy, completion of work, and proper documentation of additional services.
  • Support service operations by managing loaner vehicles, assisting with vehicle transport, valet services, and shuttle service as needed.
  • Ensure vehicles are properly parked, secured, and keys are accurately labeled and stored.
  • Maintain service department materials, pricing guides, and forms to ensure accuracy and consistency.
  • Perform additional duties as assigned to support department operations.
Qualifications:
  • High school diploma or equivalent is required.
  • Prior experience working as a service advisor/manager, or within the automotive industry, is required.
  • 3 years dealership experience is preferred.
  • Basic understanding of automotive repairs is preferred.
