Description
We are seeking a Production Services Assistant Manager to support the Department Manager in providing world-class Audio Visual & Production Services to resort guests. This person should create a positive work environment for staff by promoting teamwork and communication and ensure that all revenue is captured, and expenses controlled.

Essential Duties & Responsibilities:
Primary Tasks
Plan and oversee all production services event operations, including preparation, installation, rehearsals, production operations, removals, and coordinating outside rentals and labor
Develop and establish rapport with meeting planners and other guest contacts to create solid working relationships with new and repeat clients
Act as primary point-of-contact for confirmed bookings, capturing all event details and information
Create weekly staff schedules and review daily for optimal efficiency. Brief staff on their assignments, suggest/implement adjustments daily, and approve any overtime required
Control department expense factors, including COS/expenses to monthly budget numbers, labor costs, and minimizing staff meal penalties by coordinating with Supervisors
Complete monthly and annual productivity tracking, and implement operational changes to control labor expenses
Communicate accurate production details to the Manager to ensure proper revenue billing
Conduct payroll reconciliation daily
Reconcile Evening Pass Down notes and Operations Forms from staff and act accordingly
Manage the team’s Production Coordinator, who will report to you, and assign/oversee duties as needed
Maintain awareness of industry changes and new technologies; implement appropriate changes and suggest efficient use of Capital budgets
Order appropriate new/replacement equipment as needed within budget limits
Manage and supervise daily operations by observing/coaching staff and checking in with guests regarding our services
Complete the monthly Post Con process
Attend site visits and preconvention meetings, as assigned by the Manager
Know, model, and integrate Company culture (mission, values, and standards)
Comply with the Pebble Beach safety and health policies and procedures
Secondary Tasks
Function as the evening operation’s main point of contact for hundreds of events
Handle Group Sales contracts, create AV listings as assigned by Manager
Print, review BEO’s and enter into the eBook on a daily basis.
Keep eBook accurate by processing information from BEO’s, change/revisions/dailies, 14-day, email, and phone orders.
Follow up on BEO’s that list “working with AV Manager on requirements”
Oversee staff development, support, and training
Conduct employee relations/communication tasks, including bi-weekly supervisor meetings, quarterly department meetings, HR chat follow-ups, and staff 1:1s, keeping an awareness of team morale
Act as the point person for all PBC events, which account for 10%+ of department business. Events include Employee General Meeting, Managers’ Quarterly Meetings, board meetings, employee holiday party, Pebble Beach Food & Wine, Concours, AT&T Pro-Am, Swallows, Partners Cup, and Partners n’ Pals
Assist with PBC infrastructure projects that have a Production Services component, such as resort renovation projects and upgrading permanent sound and lighting systems
Participate in recruiting, interviewing, and onboarding new team members
Create monthly Labor Report
Work with staff to minimize meal penalties by facilitating breaks at appropriate times
Develop and update department Standard Operating Procedures (SOPs)
Keep track of all department inventory, using daily updates from the Equipment Supervisor
Act as the safety point person for the department: attend monthly resort Safety meetings, conduct monthly department safety training/checklists, and submit to Safety Manager
Conduct 90 Day and Annual Reviews for department staff
Other Responsibilities
Complete administrative duties such as Springer Miller billing, AP, AR, Payroll, assist Business Center guests
Assist with the department’s Human Resources duties as assigned, such as Communication Notices, KRAs, Performance Reviews and evaluations
Attend operational meetings as necessary such as pre-cons, menu meetings, site visits
Attend two trade shows per year to maintain “state of the art” industry knowledge
Required Skills:
AA degree in related field
Valid California driver's license with 2 points or less
Versed in social media, sales experience, and accounting
Microsoft Office knowledge
Team motivation and leadership
Corporate Audio/Visual Production experience including sound reinforcement, PC networking, Mac expertise, lighting installation, data projection, stage set installation, as well as some design creativity
Excellent communication skills, problem-solving, decision-making ability, time and personnel management skills, software installation and configuration, training, and leadership skills
Ability to speak, read, and understands the English language
Some construction experience helpful
