Position Overview
The Development Coordinator plays a vital role on PEARLS’ fundraising team, working in close partnership with the Director of Development to advance the organization’s philanthropic goals and long-term sustainability. This position is both relational and operational—supporting donor engagement, stewardship, events, and fundraising systems that fuel PEARLS’ mission to support teen girls through mentorship, mental wellness, and leadership development.
With more than 95% of PEARLS’ operating budget driven by philanthropy, the Development Coordinator is essential to ensuring that donors feel valued, informed, and connected to the impact of their generosity. Key Responsibilities
Grant Management & Institutional Giving
- Support the management of PEARLS’ foundation and corporate grant portfolio, ensuring timely submission of proposals, reports, and compliance requirements.
- Track all grant deadlines, reporting schedules, and deliverables across local, regional, and national funders.
- Coordinate proposal development by gathering program narratives, budgets, data, and attachments in collaboration with the Director of Development, President & CEO, and program staff.
- Assist with drafting grant proposals, letters of inquiry, interim reports, and final reports, ensuring accuracy, clarity, and alignment with funder priorities.
- Maintain grant calendars, tracking tools, and documentation to support strategic planning and pipeline growth.
- Support funder stewardship by coordinating updates, acknowledgments, and impact communications tied to grant awards.
Fund Development Support & Annual Giving
- Support the execution of PEARLS’ annual fund development plan, with an emphasis on institutional revenue.
- Assist with individual giving initiatives, including donor acknowledgments, pledge tracking, and stewardship communications.
- Support direct mail, digital campaigns, and annual fund efforts as needed.
- Prepare donor and funder materials, summaries, and briefing documents.
Donor Stewardship & Relationship Management
- Ensure timely, thoughtful acknowledgment of all gifts, with special attention to grant and corporate funders.
- Assist with maintaining strong, organized records of funder communications, commitments, and reporting history.
- Support donor cultivation and stewardship activities through personalized communications and follow-up.
Events & Engagement Support
- Provide administrative and logistical support for PEARLS’ fundraising and donor engagement events, including Inspired to Lead and targeted funder cultivation experiences.
- Assist with event communications, registration, tracking attendance, and post-event follow-up.
- Support on-site execution as needed.
Development Operations & Data Management
- Maintain accurate donor and funder records within the donor database (Bloomerang), ensuring data integrity and consistency.
- Generate reports and exports related to grants, revenue tracking, and fund development performance.
- Assist with internal dashboards, board reporting, and development metrics.
- Collaborate with development, marketing, and program teams to align grant reporting with program outcomes and storytelling.
Skills, Experience & Qualities
- Associates degree required.
- 2–4 years of experience in nonprofit development, with demonstrated experience supporting grant writing and grant management strongly preferred.
- Exceptional organizational and project management skills; ability to manage multiple deadlines with precision.
- Strong writing and editing skills, particularly in grant proposals and reports.
- Experience working with donor databases/CRMs (Bloomerang or similar preferred).
- Detail-oriented, proactive, and dependable.
- Ability to collaborate across teams and communicate clearly with internal and external stakeholders.
