Role Description
The Fleet Safety Specialist is responsible for ensuring regulatory compliance across the fleet, with primary emphasis on Hours of Service (HOS) compliance, driver performance, and safety training. This role proactively monitors, analyzes, and addresses HOS violations while partnering with operations and drivers to reduce risk, improve compliance, and maintain adherence to FMCSA regulations. The position also monitors driver training programs with a strong focus on high-value freight, cargo security, and regulatory requirements.
Key Responsibilities
Hours of Service Compliance
- Monitor electronic logging device (ELD) data daily to identify and address Hours of Service violations.
- Investigate HOS exceptions, violations, and recurring compliance trends.
- Coach drivers on FMCSA HOS regulations, proper log management, personal conveyance, yard moves, and supporting documentation requirements.
- Conduct regular audits of driver logs and records to ensure regulatory compliance.
- Work closely with dispatch and operations teams to proactively prevent HOS violations and optimize trip planning.
- Develop corrective action plans for drivers with recurring compliance issues.
- Analyze compliance metrics and provide reports to leadership on HOS performance and trends.
- Maintain accurate records of coaching, corrective actions, and compliance activities.
Regulatory Compliance
- Ensure adherence to FMCSA, DOT, and company safety regulations.
- Support compliance initiatives related to driver qualification files, roadside inspections, and regulatory audits.
- Monitor CSA performance indicators and identify opportunities for improvement.
- Assist with preparation for internal and external safety audits.
- Stay current on regulatory changes and communicate impacts to drivers and operational leadership.
Driver Training
- Monitor safety training programs for new and existing drivers.
- Provide one-on-one and group coaching focused on compliance, safe driving practices, and risk reduction.
- Create targeted training for drivers operating high-value and security-sensitive loads.
- Conduct training on cargo security procedures, theft prevention, route risk awareness, and incident reporting protocols.
- Evaluate driver performance data and develop individualized improvement plans.
- Partner with operations leadership to reinforce a culture of compliance and accountability.
High-Value Freight & Cargo Security
- Support implementation and enforcement of high-value load security protocols.
- Train drivers on customer-specific security requirements and chain-of-custody procedures.
- Monitor compliance with load tracking, secure parking, seal integrity, and cargo protection programs.
- Investigate security incidents and provide corrective actions to prevent recurrence.
- Collaborate with operations, customers, and security teams to mitigate cargo theft risks.
Qualifications
- CDL license and experience preferred.
- Experience in transportation safety, fleet compliance, or driver management experience.
- Strong knowledge of FMCSA regulations, particularly Hours of Service requirements.
- Experience with ELD systems and transportation management platforms. Experience working with Samsara is a plus.
- Knowledge of CSA scoring, DOT compliance, and driver safety programs.
- Experience delivering training and coaching to professional drivers.
- Familiarity with high-value freight security and cargo theft prevention strategies preferred.
- Excellent analytical, communication, and problem-solving skills.
- Proficiency in Microsoft Office applications.
