Duties

- Manage phone systems with courteous phone etiquette, directing calls efficiently and taking accurate messages when needed
- Handle incoming correspondence, including emails, mail, and deliveries, with attention to detail and confidentiality
- Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office applications
- Perform data entry tasks accurately using computer literacy skills, including QuickBooks for basic bookkeeping or invoicing as required
- Support office management by scheduling appointments, managing calendars, and coordinating meetings with effective time management skills
- Assist with clerical duties such as proofreading documents, preparing reports, and maintaining office supplies inventory
- Provide exceptional customer support by addressing inquiries promptly and professionally in person or over the phone
- Support administrative functions like copying, scanning, filing, and maintaining records in compliance with organizational standards
- Collaborate with team members to ensure smooth office operations and contribute to a positive work environment
Requirements
- Proven experience in office administration or front desk roles, preferably within gym/fitness center settings or similar environments
- Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and familiarity with data entry software like QuickBooks
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting
- Exceptional phone etiquette skills with experience managing multi-line phone systems and handling customer inquiries professionally
- Previous clerical experience such as filing, proofreading, or document management is preferred
- Experience in gym fitness receptionist roles is a plus but not required; personal assistant experience is also beneficial
- Ability to perform basic bookkeeping tasks such as invoicing or record keeping using QuickBooks or similar tools
