Peak Dentistry is a new dental practice in Lockport, IL. The practice integrates state of the art technology and provides a personalized approach to every patient.
The Front Office Coordinator is a vital role within the practice as they will be the patients first and last point of contact.
Responsibilities
Patient Experience & Communication
- Greet patients warmly and provide a welcoming environment.
- Answer phone calls, emails, and messages in a professional and timely manner.
- Schedule, confirm, and reschedule appointments efficiently.
- Explain treatment plans, insurance coverage, and payment options to patients.
- Handle patient check-in and check-out processes.
- Maintain patient confidentiality in accordance with HIPAA regulations.
Scheduling & Coordination
- Manage the appointment calendar to maximize provider productivity.
- Coordinate with dental assistants, hygienists, and dentists to ensure smooth patient flow.
- Monitor cancellations and no-shows, and proactively fill open slots.
- Prepare daily schedules and patient charts for the dental team.
Insurance & Billing
- Verify insurance eligibility and benefits prior to appointments.
- Submit insurance claims accurately and follow up on unpaid or denied claims.
- Collect co-pays, balances, and payments at time of service.
- Assist patients with billing questions and payment plans.
Administrative & Office Management
- Maintain accurate patient records and update demographic/insurance information.
- Ensure compliance with dental office policies, OSHA, and HIPAA standards.
- Manage office supplies and coordinate with vendors when needed.
- Generate reports on scheduling, collections, and patient flow for management review.
- Support marketing efforts such as recalls, reactivation, and patient reminders.
Team Collaboration
- Serve as a communication hub between patients and clinical staff.
- Assist in onboarding and training new front desk staff.
- Promote a positive team environment and contribute to office efficiency.
Skills & Qualities Required

- Customer service experience in any industry
- Administrative experience preferred

Job Type: Full-time
