Beverage Coordinator
Position Summary:
The Beverage Coordinator is responsible for administering the daily operational functions of Peachtree Catering & Events' beverage program under the direction of the Beverage Manager. This position oversees the execution of beverage purchasing, inventory administration, event preparation, compliance documentation, and operational recordkeeping to ensure the department operates efficiently and in accordance with company standards.
The Beverage Coordinator exercises independent judgment in coordinating purchasing activities, monitoring inventory levels, maintaining compliance records, resolving inventory discrepancies, administering beverage control systems, and recommending operational improvements to support the Beverage Manager. This role serves as the operational steward of the department's inventory, documentation, and logistical processes while ensuring beverage resources are accurately prepared for all events.
Responsibilities:
Beverage Operations
- Administer the day-to-day beverage inventory program under the direction of the Beverage Manager.
- Execute all beverage purchasing approved within departmental purchasing guidelines, exercising independent judgment regarding inventory levels, order timing, vendor availability, product substitutions, and replenishment needs.
- Pull, pack, organize, and prepare beverage inventory for all events while maintaining established departmental standards and identifying opportunities to improve organization and efficiency.
- Maintain standardized pars, inventory organization, and product labeling systems established by the Beverage Manager, recommending revisions as operational needs change.
Inventory Administration
- Complete monthly beverage inventories and maintain accurate inventory records, including pricing updates, bottle conversions, PLCB pricing changes, and product adjustments.
- Review beverage consumption reports, investigate discrepancies, reconcile inventory variances, and recommend corrective actions when needed.
- Administer inventory accountability procedures, including empty bottle reconciliation, consumption reporting, and inventory documentation.
- Monitor beverage inventory trends and provide recommendations regarding purchasing needs, stock levels, and operational efficiencies.
Compliance & Documentation
- Administer departmental PLCB compliance documentation, including maintaining required records, coordinating RAMP documentation, and ensuring operational compliance with applicable regulations.
- Maintain beverage operating procedures, inventory documentation, packing standards, and training materials.
- Recommend revisions to department documentation and standard operating procedures based on operational needs and regulatory requirements.
Training Support
- Coordinate bartender onboarding logistics and facilitate training using company-established beverage standards.
- Maintain bartender training records and documentation.
- Provide coaching on beverage procedures, inventory accountability, and operational expectations while escalating performance concerns to the Beverage Manager.
- Assist with the implementation of new beverage procedures and operational initiatives.
Department Support
- Assist the Beverage Manager with vendor coordination, inventory planning, special projects, and departmental initiatives.
- Participate in bartender interviews and provide operational feedback regarding candidates.
- Collaborate with Operations, Staffing, Culinary, and Event Leadership to ensure beverage operations support successful event execution.
- Demonstrated ability to exercise sound judgment and make independent decisions regarding inventory management, purchasing, operational priorities, and process improvements.
- Strong organizational, analytical, and problem-solving skills with exceptional attention to detail.
- Excellent written and verbal communication skills, with the ability to communicate effectively across departments and with vendors.
- Ability to prioritize multiple projects, manage competing deadlines, and adapt to changing operational needs with minimal supervision.
- Proficiency in Microsoft Office, particularly Excel, and the ability to quickly learn inventory management, scheduling, and business software systems.
- Experience maintaining accurate records, preparing reports, and managing operational documentation.
- Working knowledge of inventory management principles, purchasing practices, and cost control preferred.
- Familiarity with PLCB regulations, RAMP requirements, or other alcohol compliance standards is preferred, or the ability to quickly learn and administer applicable regulatory requirements.
- Ability to train, coach, and support employees while maintaining consistent operational standards.
- Valid driver's license and reliable transportation.
- Ability to lift and move beverage inventory, including cases of beer, wine, liquor, and other event supplies, up to 50 pounds.
- Ability to work a flexible schedule, including evenings, weekends, and holidays as business demands require, and remain available for occasional on-call operational support.
