POSITION SUMMARY:
To manage and oversee the U.S. supply chain and logistics operations, with a focus on in-house EDI management, warehouse coordination between the U.K. and US facilities, wholesale and retail distribution, sales and buying team liaison, and performance reporting. The role serves as the key operational link between the warehouse, sales, merchandising, buying, and credit control teams to ensure the efficient flow of goods from origin to customer.

What you’ll be doing:
Order Management and EDI
- Manage the end-to-end EDI transaction flow, including purchase order receipt, acknowledgements, advance ship notices (ASNs), and invoicing.
- Review and approve incoming purchase orders, resolving any discrepancies with buying teams.
- Upload seasonal order books into OpenText / EDI catalogues and ensure catalogue codes are maintained and up to date for all EDI customers.
- Manage incoming EDI purchase orders from department stores and keep the sales team informed of order status.
- Monitor and assist in inputting order data, supporting the wholesale sales team with seasonal order entry, stock orders, new customer set up, and RTV (Return to Vendor) coordination.
- Act as the primary liaison between the U.K. warehouse and the U.S. (NJ) warehouse, managing the flow of goods as demand is created.
- Work closely with the NJ warehouse to ensure operational procedures, vendor compliance standards, and SLAs are being followed.
- Coordinate with couriers and freight forwarders to ensure on-time deliveries across all channels.
- Assist with customs clearance issues.
- Manage any ad hoc shipments as required.
- Oversee inventory levels across locations, assisting teams with stock movements, channel allocation, and replenishment.
- Manage department store order fulfilment, monitoring start and end shipping dates working closely with sales and buying teams for PO amendments.
- Monitor production schedules and provide feedback / adjustments, to maximize order fulfillment rates.
- Maintain department store chargeback files and records, be responsible for disputing chargebacks where applicable via dept store portals.
- Track and manage store returns, liaising with the sales team and warehouse on RTV processing, dispute shortages in timely manner via dept store portals.
- Maintain strong knowledge of U.S. department store vendor compliance standards and routing requirements.
- Demonstrate working knowledge of Amazon Vendor Central, including routing processes and order management.
- Assist the sales team with the upload of product information to online retail partners.
- Work within PRIMA (MRP system) to manage inventory, orders, and supply chain data, ensuring records are accurate and up to date.
- Utilize in house Mosaic system for bespoke services.
- Use Power BI reporting to support ship status, cancellations, demand planning, stock visibility, and order tracking across channels.
- Produce shipping status reports and operational dashboards using Power BI.
- Compile and distribute reporting on warehouse performance, SLA adherence, OTIF (On Time In Full) rates, and inventory management metrics.
- Assist with departmental monthly reports and ad hoc reporting as required by management.
- Work with the credit control team to resolve customer hold issues promptly, ensuring orders are released and shipped without unnecessary delay.
- Act as the main point of contact with the U.K. credit control department on U.S. account queries.
- Resolve credit control issues proactively to minimize disruption to order fulfilment.
- Oversee and assist UK teams with direct independent customer shipping / reporting.
- Assist the merchandise team with sample sales and liquidation activities.
- Develop and maintain strong client relationships with wholesale customers to enable efficient issue resolution.
- Any other related duties as outlined by your line manager.
- Proven experience in supply chain, logistics, or operations management, ideally within fashion, retail, or wholesale distribution.
- Strong working knowledge of EDI processes, including document types (850, 856, 810) and EDI platforms such as OpenText.
- Experience with MRP/ERP systems (PRIMA preferred) and inventory management principles.
- Proficiency in Power BI for report creation and data visualization.
- Familiarity with Amazon Vendor Central and U.S. department store vendor compliance and routing standards.
- Experience coordinating with freight forwarders, couriers, and customs brokers.
- Strong communication and stakeholder management skills, with the ability to liaise across multiple departments and geographies.
- Excellent attention to detail and organizational skills with the ability to manage multiple priorities.
- Proficient in Microsoft Office Suite.
