Core Responsibilities
Front Office & Client Service
- Answer and route incoming phone calls professionally and efficiently
- Greet clients and visitors while creating a welcoming office environment
- Accept client payments and assist with front desk transactions as needed
- Receive, organize, and process source documents provided by clients
- Scan, upload, and maintain electronic client records
- Prepare and mail invoices, tax documents, and client correspondence as needed
- Assist with client inquiries and direct requests to the appropriate team members
- Download and troubleshoot tax organizers for clients as needed
- Assist with tax organizer file preparation and management prior to distribution
- Create and manage tax signature requests and related tracking lists
- Create new client forms and administrative records as needed
- Prepare and submit monthly finance charge reports
- Distribute Powers of Attorney (POAs) to clients for signature and upload completed forms to the IRS
- Maintain e-file release tracking and acceptance listings
- Assist with updating and reviewing client information within firm systems
- Process software expense invoicing and related administrative tasks
- Support special projects during non-peak periods, including client record updates, working paper preparation, scan sheet creation, and other seasonal readiness projects
- Monitor and restock kitchen, restroom, and common office supplies
- Coordinate office supply purchases and shopping as needed
- Maintain an organized, professional, and welcoming office environment
- Assist with office-wide administrative projects and operational support
- Provide general support to managers, supervisors, and team members as needed
Education & Experience
- High school diploma or equivalent required
- Associate's degree or additional coursework in business, accounting, or related fields is a plus
- Previous administrative, customer service, or office support experience preferred
- Experience working in a professional office environment is beneficial but not required
- Exceptional customer service and interpersonal skills
- Strong organizational skills and attention to detail
- Ability to prioritize multiple tasks and meet deadlines
- Proficiency in Microsoft Office, including Word, Excel, and Outlook
- Ability to learn firm technology and client management systems
- Strong written and verbal communication skills
- Ability to handle confidential information with professionalism and discretion
- QuickBooks experience is a plus, but not required
