Purpose the Job Exists:
To provide first class service to clients and office staff including: Receptionist duties, Administrative duties, Facilities support and entry level Accounts Receivable activities.
Decision Making:
- Reports to HR Director
- Decision making is limited and based upon established processes and procedures
- Entry level position
Job Functions:
- Greet Clients
- Answer Phones
- Schedule meetings
- Check-in client documents
- Package tax returns
- Incoming/outgoing mail
- Office & Kitchen inventory & supplies
- Filing Email
- Client gifts/appreciation (Hospitality)
- Holiday cards
- Maintain contacts in various databases
- Tidy front beginning & ending of day
- Coordinate Facility needs; i.e. repairs, supplies
- Process client payments
- Assist with invoice creation and outstanding collections
- Ability to work overtime as needed; especially during tax seasons
Performance Measures:
- Accuracy of work

Qualifications:
- High School diploma
- 2 years experience in an Administrative function
- Fully conversant with Microsoft Office Suite, Outlook
- Familiarity with basic accounting a plus
- Resourceful and proactive individual with excellent communication skills who can show initiative and flexibility in their approach to a wide range of tasks
- Able to act with basic instruction and independently complete task, thinking through the next steps
- Team player, willing to assist others when needed
- Able to work under pressure to produce high quality work to exacting deadlines
