Position Summary: Patriot Properties is seeking a professional, organized, and customer-focused Office Associate/Receptionist to join our team. This full-time, on-site position serves as the first point of contact for residents, prospects, vendors, clients, and visitors while providing administrative support across multiple departments.

Responsibilities:
- Answer and direct incoming phone calls professionally and efficiently.
- Monitor and respond to voicemails promptly.
- Welcome residents, prospects, vendors, clients, and visitors with exceptional customer service.
- Respond to inquiries by phone, email, and company software platforms.
- Prepare, process, and mail tenant correspondence, notices, lease documents, and other required communications.
- Maintain accurate tenant records and document resident communications within company software.
- Assist residents with move-in, move-out, lease, and general property-related questions.
- Create and process maintenance work orders while coordinating with management and maintenance teams.
- Communicate with residents regarding maintenance requests, lease-related matters, company policies, and property updates.
- Process rent payments, generate receipts, and assist with resident account inquiries.
- Maintain organized records through filing, scanning, and data entry.
- Assist with scheduling appointments and general administrative support.
- Maintain office organization and supply inventory.
- Obtain and document police reports, incident reports, and other records as needed.
- Support the Leasing Department and other office staff with administrative tasks.
- Help create a welcoming, professional office environment for residents, visitors, vendors, and team members.
Qualifications:
- Excellent customer service and interpersonal skills.
- Strong written and verbal communication skills.
- Professional phone etiquette.
- Ability to multitask and prioritize in a fast-paced office environment.
- Strong organizational skills with exceptional attention to detail.
- Proficiency with Microsoft Office or Google Workspace, email, and general office technology.
- Experience with AppFolio or other property management software is preferred but not required.
- Property management, real estate, or administrative office experience is preferred.
- Knowledge of Wisconsin landlord-tenant practices is a plus.
- Ability to maintain confidentiality and exercise professionalism.
- Positive attitude with a willingness to learn and work collaboratively.
Schedule:
- Full-Time
- Monday-Friday
- 8:30 AM - 5:00 PM
- 30-minute unpaid lunch
- 40 hours per week
