Patriot Legal Group is seeking a proactive and detail-oriented Legal Assistant / Real Estate Closing Coordinator to join our team in our Auburndale office. This role combines legal assistant responsibilities with real estate closing coordination to support both the law firm and our affiliated title company operations.
The ideal candidate is highly organized, comfortable working with legal technology, and able to manage multiple matters simultaneously while providing excellent client service. This position offers the opportunity to work closely with attorneys in Probate, Estate Planning, Guardianship, and Real Estate matters, including occasional support with real estate litigation, while also coordinating residential and commercial real estate closings.
Candidates with title company experience, closing coordination experience, or legal assistant/paralegal experience are strongly encouraged to apply. Experience with the Qualia title closing platform is preferred.
Duties
Legal Assistant Responsibilities
- Assist attorneys with preparation of legal documents related to Probate, Estate Planning, Guardianship, and Real Estate matters.
- Draft routine correspondence, client communications, and document templates under attorney supervision.
- Assist with preparation of pleadings, affidavits, and supporting documentation for court filings.
- Help organize and maintain digital case files within the firm’s case management systems.
- Assist with client intake and gathering documents needed for legal matters.
- Coordinate client appointments, document signing meetings, and follow-up communications.
- Track deadlines, court dates, and filing requirements.
- Assist with assembling probate filings, estate planning document packages, guardianship pleadings, and real estate litigation documents when needed.
- Maintain accurate records and ensure documents are properly stored and organized.
Real Estate / Title Closing Responsibilities
- Coordinate residential and commercial real estate closings from contract through post-closing.
- Work within the Qualia platform to manage title files, closing tasks, and document workflows.
- Order title searches, lien searches, estoppel letters, and payoff statements.
- Prepare or assist with settlement statements and closing packages.
- Communicate with lenders, real estate agents, buyers, sellers, and attorneys to coordinate closings.
- Schedule closing appointments and assist with document execution.
- Assist with post-closing activities including recording documents and finalizing closing files.
Administrative Support
- Provide administrative and organizational support to attorneys and staff.
- Maintain organized digital filing systems and document management processes.
- Handle client communications and phone inquiries professionally.
- Assist with office workflow and coordination between legal and title operations.
Requirements
- Prior experience in a law firm, title company, or real estate closing environment.
- Strong organizational and time-management skills.
- Ability to manage multiple matters simultaneously while maintaining attention to detail.
- Proficiency with Microsoft 365 (Outlook, Word, Excel).
- Strong written and verbal communication skills.
- Ability to handle confidential client information with professionalism and discretion.
Preferred Qualifications
- Experience working with the Qualia title closing platform.
- Experience coordinating real estate closings.
- Legal assistant or paralegal experience in Probate, Estate Planning, Guardianship, or Real Estate law.
- Experience assisting with real estate transactions or litigation matters.
- Comfort working in a paper-light, technology-driven office environment.
Work Environment
This is an in-office position in Auburndale, Florida, working closely with attorneys and staff in a collaborative team environment. The role supports both the firm’s legal practice and real estate closing operations.
