Litigation Legal Assistant
AREAS OF PRACTICE: Litigation
JOB QUALIFICATIONS:
· At least 2 years of legal work experience
· Prior experience in the areas of managing case files, preparing and organizing documents, and performing e-filing in state and federal courts
· Prior experience in drafting legal documents such as pleadings, motions, and discovery requests
· Prior experience in litigation
· Excellent organizational skills
· Ability to work in a fast-paced environment and manage high-volume workloads
· Experience calendaring litigation deadlines, scheduling depositions, mediations, and hearings
· Excellent customer service skills and acting as a point of contact for clients
· Efficient with Microsoft Word and Excel
· Experience with NetDocs and Surepoint
· Experience dictation Phillips Speech Live
· Meticulous attention to detail and ability to work under pressure to meet strict deadlines
· Current NC Notary Public, or willing to obtain Notary immediately after hire if not currently certified
JOB DUTIES:
· New client intake, conflict check, and file setup
· Schedule client meetings and hearing dates
· Correspondence with prospective and current clients, court officials, government offices, and attorney offices, by phone, email, and mail
· Maintain and organize paper and electronic client files, including initial setup and closure
· Copying and scanning
· Prepare legal documents from dictations or attorney instruction
· Transcription
· Process estate planning packages for clients after signing (including recording documents, scanning/copying, final correspondence, and final bills)
· Scan/profile and organize documents and other information for client files (hard files and electronic files)
· Prepare correspondence, various legal documents, and pleadings from either dictation or attorney instruction
· Prepare closed files (scanning, closed file sheets)
· Calendar and monitor case deadlines
· Maintain follow-up with clients
· Submit filings to Clerk of Court offices
· E-record documents via Simplifile
· E-file documents with North Carolina Secretary of State
· Prepare real estate settlement statements using Display Soft
· Enter time and expenses into billing software on a daily basis
· Request checks for client costs and advances
· Make deposits and disbursements from client trust accounts and prepare Accountings for Funds in Trust
· Make deposits and disbursements from real estate trust account and maintain appropriate documentation
· Submit billing statements to clients
· Take client payments via credit card or check
· Assist other office staff as needed with duties such as answering phones and acting as backup legal assistant for other attorneys
