SCHEDULE: Full-time schedule Monday–Friday from 8:30 a.m. to 5:00 p.m.                                                                                         with occasional adjustments based on ministry needs.

The Administrative Accountant at Patria Church is a detail-oriented, dependable, and ministry-minded professional who supports the financial health and operational integrity of Patria Church. This individual plays a key role in ensuring accurate financial stewardship by entering financial transactions, maintaining records, reconciling accounts, supporting budgeting processes, and assisting with departmental organization within the church’s financial systems, including Sage Intacct, the Martus budgeting platform, and any additional financial or administrative systems implemented by Patria Church. The Administrative Accountant must demonstrate strong organizational skills, sound judgment, and a high level of discretion when handling sensitive and confidential financial data. This role serves as a central point of support for the Finance Manager and the Finance Department, assisting with audit preparations, coordinating meetings, managing calendars, preparing departmental documentation, and maintaining both digital and physical financial records. The Administrative Accountant collaborates with ministry departments by training administrators on budget procedures, supporting financial submissions, and ensuring compliance with established church policies, regulatory requirements, and GAAP-aligned standards. Through consistency, accuracy, and dependable follow-through, this role strengthens the financial foundation that supports all ministries, programs, and churchwide operations. The Administrative Accountant models professionalism, excellence, and a ministry-focused posture in every interaction, communicating respectfully with pastors, staff, ministry leaders, volunteers, and external partners. WORK SCHEDULE AND DAILY RHYTHM

The Administrative Accountant supports the daily financial operations of Patria Church by processing transactions, maintaining financial records, and assisting ministry departments with budget and documentation needs. Most work follows a steady weekday rhythm of data entry, reconciliations, communication, and administrative support for the Finance Manager. During financial cycles, audit periods, or ministry-wide initiatives, the schedule may adjust to prioritize deadlines or all-hands tasks. The role requires consistency, accuracy, and a professional, ministry-focused posture throughout each workday.

 

 

ESSENTIAL DUTIES AND RESPONSIBILITES

  • Fully embraces and acts in accordance with the vision of Patria Church to Seek the Lost, Teach the Found, and Send the Disciples.

  • Embrace and execute a Neighborhood Groups philosophy of ministry, fostering community, discipleship, and connection across families and campuses.
  • Demonstrates professionalism, reliability, and respect in all interactions with staff, volunteers, families, and guests.
  • Financial Processing & Recordkeeping:
    • Maintain and update financial records within Sage Intacct, including AP, AR, and general ledger entries.
    • Assist with bank reconciliations and resolve discrepancies.
    • Ensure accuracy and compliance with organizational policies and GAAP standards.
    • Maintain detailed entries within financial systems and databases.
  • Budgeting & Ministry Support:
    • Support ministry departments with the preparation and review of budgets in Martus.
    • Train department administrators on budget practices and submission requirements.
    • Support monitoring and accuracy of ministry budgets after close.
  • Administrative & Clerical Support:
    • Manage the Finance Manager’s calendar and schedule meetings.
    • Prepare departmental documentation, coordinate trainings, and maintain files.
    • Submit room requests and support departmental organization.
    • Develop new documents and training materials as needed.
  • Audit & Compliance Support:
    • Assist with internal and external audit preparations.
    • Provide documentation, gather data, and support audit requests.
    • Ensure transactions meet legal, regulatory, and GAAP-aligned requirements.
  • Cross-Department Collaboration:
    • Communicate professionally with ministry leaders and staff.
    • Respond to finance-related inquiries promptly and accurately.
    • Complete additional assignments as directed by the Finance Manager, CFO, Executive Pastor, or Lead Pastor.

EDUCATION, TRAINING, AND EXPERIENCE

  • Must possess strong computer skills, including proficiency with spreadsheets, databases, and word processing software (Excel, Word, PowerPoint).

  • Bachelor’s Degree in Accounting, Finance, Business Administration, Economics, or a related field preferred.

  • Relevant professional experience in finance or accounting may be accepted if a degree is not held.

  • Experience supporting financial operations in a nonprofit, school, ministry, or multi-department environment is strongly preferred.

  • Prior experience preparing financial reports, reviewing transaction details, or supporting month-end processes is highly beneficial.

  • Knowledge of Generally Accepted Accounting Principles (GAAP), including processes, principles, and compliance standards.

  • Coursework or demonstrated knowledge in financial analysis, accounting principles, budgeting, and business communication.

  • Experience using financial systems such as Sage Intacct, SAP, Oracle, or similar ERP platforms.

  • Advanced proficiency in Microsoft Excel, including pivot tables, formulas, and basic macros.

  • Familiarity with Patria Church’s ministry processes, culture, and finance procedures is preferred but may be learned on the job.

  • Collaborative work ethic with the ability to partner effectively with staff and ministry departments.

 

 

ORGANIZATIONAL AND SPIRITUAL REQUIREMENTS

  • Always demonstrate Christ-centered behavior by treating people with dignity, respect, compassion, and integrity.

  • Member of Patria Church (or willing to transfer membership to Patria Church).

  • Pastors are required to attend all regularly scheduled Sunday and Wednesday church services. Support staff must attend at least one (1) regularly scheduled weekend church service.

  • Attendance at all mandatory meetings and events. This includes serving at Good Friday, Easter, and Christmas services as well as the annual volunteer appreciation event.

  • Regular involvement in Patria Church activities, ministries, neighborhood groups, and events.

  • Tithe 10% to Patria Church.

  • Demonstrate full alignment with Patria Church’s Statement of Faith and core beliefs as outlined in the Employee Handbook, on the official website, and through consistent practice in ministry, leadership, and daily life.

PHYSICAL REQUIREMENTS

This role may occasionally require light physical activity such as preparing rooms, moving office supplies, transporting materials, or assisting with basic event-related setups. Sufficient vision, hearing, and mobility are required to communicate effectively, maintain awareness of surroundings, and complete assigned responsibilities safely.
