Position Summary
The PatientPoint Foundation is seeking an exceptional Executive Assistant / Chief of Staff to serve as a strategic partner to the Chief Executive Officer. This is far more than a traditional executive assistant role. It is an opportunity for a highly organized, analytical, and proactive professional to help drive organizational effectiveness, manage strategic initiatives, and ensure the CEO and leadership team operate at the highest level.

This individual will be trusted with highly confidential information and will play a central role in helping the organization scale its impact.
Key Responsibilities
Executive Partnership
- Serve as the CEO's primary strategic and administrative partner, maximizing executive effectiveness.
- Manage complex calendars, scheduling, travel, and meeting logistics.
- Prepare agendas, briefing materials, presentations, and executive correspondence.
- Prioritize incoming requests and help manage competing priorities.
- Anticipate challenges and proactively identify solutions.
- Handle confidential information with the highest level of professionalism and discretion.
Strategic Planning & Chief of Staff Functions
- Partner with the CEO to advance strategic priorities across the organization.
- Track organizational goals, key initiatives, and executive action items.
- Monitor progress on strategic projects and ensure accountability across departments.
- Prepare executive dashboards and briefing materials for leadership and Board meetings.
- Conduct research and provide analysis to support executive decision-making.
- Help identify operational improvements that increase organizational effectiveness.
Project & Program Management
- Lead and coordinate cross-functional initiatives from planning through execution.
- Develop project plans, timelines, and tracking mechanisms.
- Coordinate with staff, Board members, consultants, funders, and external partners.
- Ensure projects remain on schedule while proactively addressing obstacles.
- Support planning and execution of Board meetings, strategic retreats, community events, and fundraising activities.
Operations & Organizational Support
- Assist with organizational planning, budgeting, and financial tracking.
- Support grant management, reporting, and compliance activities.
- Maintain executive files, organizational records, and documentation.
- Coordinate vendor relationships and selected operational functions.
- Help establish and improve internal processes that support organizational growth.
Communications
- Serve as a liaison between the CEO and internal and external stakeholders.
- Draft, edit, and proofread executive communications, presentations, reports, and correspondence.
- Assist with Board communications and governance materials.
- Support internal communications that keep staff aligned and informed.
- Represent the organization professionally with community partners, donors, healthcare organizations, and other stakeholders.
Qualifications
Education
Bachelor's degree in Business Administration, Communications, Public Administration, Nonprofit Management, Healthcare Administration, or a related field preferred.
Experience
- 5 years supporting senior executives in progressively responsible Executive Assistant, Chief of Staff, Operations, or Project Management roles.
- Experience within a nonprofit, healthcare, consulting, or mission-driven organization preferred.
- Demonstrated success managing multiple complex projects simultaneously.
- Experience preparing executive-level presentations, reports, and briefing materials.
