Position Overview
The AR & Billing Manager will lead billing operations across both project-based and service lines, ensuring invoices are accurate, timely, and aligned with customer and contractual requirements. This role blends strategic oversight with hands-on execution and requires close collaboration with operations, project teams, and finance.
Key Responsibilities
- Lead day-to-day billing operations, including AIA billing, time & materials invoicing, service work orders, and contract billing
- Supervise and develop a team of approximately six billing and project accounting professionals
- Review and approve customer invoices and supporting documentation (including lien waivers and compliance forms)
- Partner with project managers, technicians, and dispatch teams to ensure billing accuracy and timeliness
- Manage billing through third-party portals (e.g., Ariba, Coupa, Textura, Maximo)
- Monitor AR aging and collaborate with collections to resolve outstanding balances
- Oversee customer and job setup within ERP systems and ensure alignment with contract terms
- Prepare and analyze monthly billing summaries, customer statements, and profitability reporting
- Serve as the escalation point for complex billing inquiries and dispute resolution
- Identify and implement process improvements to enhance efficiency and accuracy
Qualifications
- 5 years of billing or accounts receivable experience, including 2 years in a leadership capacity
- Construction or project-based industry experience required
- Strong experience with AIA billing, lien waivers, and third-party billing platforms
- Proficiency with ERP systems (COINS, Sage Intacct, or similar)
- Advanced Excel skills
- Strong leadership, communication, and organizational skills
- Detail-oriented with the ability to manage priorities in a fast-paced environment
