Position:
Pathfinder Regional Vocational Technical High School is a four-year regional vocational technical high school serving approximately 650 students and currently offering fifteen technical programs. The Payroll Associate will be responsible for all aspects of employee pay for the district.
Qualifications:
Education:
- College degree preferred, previous direct payroll experience will be considered in lieu of a relevant college degree.
Preferred Experience:
- Minimum of 2 years of experience in the area of payroll preparation is required, prefer school system or municipal payroll experience; additional experience with bookkeeping and/or accounts payable is highly desirable.
- A high degree of proficiency in computer skills including Microsoft Suite and Google Documents.
- School ERP Pro (formerly Infinite Visions) Accounting and Budgeting System experience preferred.
- Knowledge of payroll terminology, practices and procedures;
- Knowledge of basic accounting and bookkeeping principles and procedures;
- Possesses strong interpersonal skills;
- Possesses strong oral and written communication skills;
- Possesses strong ability to perform arithmetic computations;
- Possesses strong ability to read, understand and apply applicable contract guidelines and regulations;
- Maintains records and files;
- Possesses strong ability to follow complex oral and written instructions;
- Confident with office equipment which includes computers, tablets, and other electronic equipment:
- Speed and accuracy with keyboarding skills.
Performance Responsibilities:
- Performs biweekly payroll including balancing and verifying check register, detailed master payroll report and creates payment warrant for School Committee Approval;
- Pays federal and state taxes biweekly, performs quarterly 941 tax filings, processes/distributes/ and reports annual W-2’s;
- Processes Affordable Care Act filings and distributes 1095C to employees for health insurance verification;
- Performs fiscal year rollover of payroll based on contractual changes;
- Review employee timesheets for accuracy and completeness and posts hours worked to ERP Pro Accounting System (Previously Infinite Visions);
- Review personnel and/or payroll change notices and posts changes and/or adjustments to master files, e.g. new hires, transfers, reclassifications, terminations, retirements, overpayments and/or underpayments, wage increases, deduction changes (health insurance, union dues and/or fees, sheltered tax annuity payments, group life insurance payments, etc.);
- Calculate gross wages;
- Performs various clerical accounting functions such as calculating account balances and verifying budgets;
- Prepares supplemental payrolls such as longevity payments, vacation pay, etc.;
- Calculates and processes retroactive payments, collective bargaining increases and annual increments;
- Keeps abreast of collective bargaining contract requirements and restrictions as related to payroll (dates for salary increases, overtime, shift differential and holiday pay restrictions, etc.);
- Responds to employee inquiries regarding paychecks and payroll practices and procedures;
- Maintains various records and files for payroll data and forms;
- May calculate worker’s compensation and/or retirement payments;
- May calculate and monitor payroll deductions for court ordered wage executions garnishments);
- Performs online reporting of Massachusetts Teacher Retirement System, Hampden County Retirement System, and Nationwide Investments among others;
- Manages the contractual benefit programs such as health insurance, dental insurance, and Flex Spending Accounts etc. Duties include processing of new employee coverages, changing current coverages, monthly balancing of various insurance bills to payroll deductions, and performing annual open enrollment.
- Balances and prepares payroll related invoices, e.g., Medical and/or Insurance Providers, etc.;
- Required to cross-train and act as back-up to Accounts Payable Associate.
- Performs other related duties as assigned
Compensation:
$26 -$36 estimated per hour, commensurate with education and experience.
