Overview
Our client is looking for an experienced bilingual General Affairs Manager to oversee office administration, facility operations, vendor management, and cross-functional coordination. This position will supervise departmental operations, support process improvements, and ensure efficient day-to-day business functions while working closely with management and internal stakeholders.
Key Responsibilities
General Affairs & Office Operations
- Oversee daily office operations and administrative functions
- Manage office supply procurement, inventory control, and facility maintenance coordination
- Handle office repairs, consumable replacements, and workplace operational issues
- Coordinate company business card orders and maintain issuance records
- Support office and facility improvement initiatives
- Supervise team members and provide guidance as needed
- Establish departmental priorities and operational goals
- Coordinate schedules and collaborate with other departments to support corporate objectives
- Identify operational inefficiencies and implement process improvement initiatives
- Conduct operational reviews and recommend system enhancements
- Manage vendor relationships, service coordination, invoice review, and payment processing
- Oversee company vehicle administration including registration, insurance, maintenance, and renewals
- Manage corporate insurance policies and broker communications
- Handle annual reports, business licenses, and corporate compliance documentation
- Provide administrative support for company-related operational activities
- Provide regular updates and reporting to senior management
- Maintain communication with internal departments, vendors, and external stakeholders
- Support cross-functional collaboration and company initiatives
- Bilingual in Japanese and English (reading, writing, and speaking required)
- 3–5 years of experience in office administration, executive assistant, general affairs, or related functions
- College degree preferred but not required
- Strong organizational, multitasking, and problem-solving skills
- Ability to manage multiple deadlines and priorities
- Strong vendor management and negotiation skills
- High level of discretion and confidentiality
- Ability to work collaboratively across departments
