This position supports the daily administrative and accounting operations of a freight forwarding company, with a focus on Accounts Payable (AP), Accounts Receivable (AR), and general office administration. The ideal candidate is detail-oriented, reliable, and eager to learn.
Key Responsibilities
Accounts Payable (AP)
- Process vendor invoices, verify accuracy, and match them with purchase orders, bills of lading, and shipment records
- Validate freight charges, handling fees, warehouse fees, and other logistics-related costs
- Maintain payment schedules and ensure timely payments
- Generate customer invoices based on shipment data, B/L information, and rate agreements
- Monitor AR aging reports and follow up on overdue balances
- Apply customer payments and reconcile customer accounts
- Provide administrative support including filing, data entry, and document preparation
- Prepare FedEx shipments and manage outgoing mail
- Handle rent payments and maintain basic office expense records
- Minimum 6 months of experience in AP/AR or administrative roles
- Proficient in MS Office (Excel, Word)
- Strong communication and coordination skills
- Bilingual in English and Japanese
