Position Summary
Under general supervision, the Patient Services Coordinator serves as the first point of contact between Rolling Hills Clinic and patients/public. This role is responsible for handling front office reception and administration duties, including responding to inquiries via phone, fax, and in person, greeting patients, scheduling appointments, taking/posting payments, verifying insurance, providing documentation, and registering patients.

Required Education & Experience
Working Environment: Work is performed in a health clinic setting. The noise level in the work environment is usually low to moderate. Will work with blood-borne pathogens and will require OSHA training. This job routinely uses standard office equipment such as computers, telephones, photocopiers, and fax machines. Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to stand, walk, sit, use hands to finger, handle, or feel; and reach with hands and arms. The employee is occasionally required to stoop. The employee must occasionally lift and/or move up to 50 pounds. Position may require exertion up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently or constantly lift, carry, push, pull or otherwise move objects. Specific vision abilities required by this job include close vision, distance vision, color vision peripheral vision, depth perception and ability to adjust focus.

Vaccination Requirements
Provide vaccination records to show proof of immunity for TB, Measles, Mumps, Rubella, Varicella, TDAP & Hep B. If the records are more than 10 years old, titers are required to confirm immunity.

Essential Duties/Responsibilities
- Welcome and greet patients/visitors to the clinic.
- Answer questions about Rolling Hills Clinic and provide needed information.
- Promptly check in patients for appointments.
- Verify patient demographics; offer patient portal information.
- Communicate clinic policies and procedures to patients in person and by phone.
- De-escalate patient grievances and refer to supervisor/director as necessary.
- Schedule appointments during check-out as appropriate.
- Accurately identify patients requiring urgent care and alert triage personnel.
- Register patients in EMR, provide/scan clinical forms, verify patient identity.
- Understand and comply with HIPAA, HITECH, and OSHA requirements.
- Knowledgeable of medical/dental insurances and eligibility.
- Receive and assign patient payments to correct accounts.
- Reconcile end-of-day cash, patient payments, charges, and deposits.
- Develop and maintain doctor/hygienist schedules to meet practice goals.
- Manage unscheduled and treatment pending lists for patient follow-up and scheduling goals.
- Inform waiting room of scheduling delays.
- Handle appointment confirmations, scheduling recalls, new/treatment/surgery appointments.
- Attend trainings and organizational meetings for updates.
- Maintain provider specialty schedules.
- Sort, distribute, and scan mail.
- Operate and troubleshoot office equipment; escalate urgent issues to supervisor.
- Open and close the clinic; post closure due to staff meetings/holidays.
- Safely perform duties and follow necessary protective protocols.
- Observe ergonomic safety standards.
- Ensure safety and health for self and others in all operations.
- Take corrective action for health/safety matters raised.
- Perform other duties as assigned.
Required Education & Experience
- Must be at least 18 years of age.
- High School diploma or equivalent.
- One (1) year certificate from college or technical school OR 3-6 months related experience/training OR combination of education and experience.
- Bilingual
- Valid CPR Certification
- Valid California Driver’s License
