Position Overview: Partstat, Inc. is seeking a highly organized and proactive Executive Assistant to directly support our CEO, who also operates two other companies. As an integral member of our team, you will oversee a variety of administrative, operational, and strategic tasks to help maximize the CEO’s productivity and effectiveness across all business ventures.
Key Responsibilities:
- Provide high-level administrative support to the CEO, including managing complex calendars, scheduling, meeting coordination, travel arrangements, and expense reporting across all companies.
- Manage LinkedIn posts and activities
- Prepare correspondence, reports, presentations, and other professional documents as needed.
- Serve as a primary liaison between the CEO and internal/external stakeholders for all associated businesses.
- Coordinate board meetings, prepare agendas, distribute materials, and document meeting minutes for all entities.
- Manage confidential information with the utmost discretion.
- Assist with special projects, research, and strategic initiatives as assigned by the CEO, spanning all of his companies.
- Help organize company events, executive retreats, and cross-company gatherings.
- Anticipate the needs of the CEO and proactively address potential issues.
- Juggle multiple priorities and deadlines in support of dynamic business operations.
Qualifications:
- Bachelor’s degree or equivalent experience preferred.
- Proven experience as an executive assistant, administrative assistant, or similar role supporting C-level executives, preferably within multi-entity environments.
- Exceptional organizational and time-management skills, with the ability to seamlessly manage tasks for multiple businesses.
- Outstanding communication skills, both written and verbal.
- Proficiency with Microsoft Office Suite, Google Workspace, and related productivity tools.
- High level of professionalism, discretion, and integrity.
- Ability to multitask and prioritize competing demands in a fast-paced environment.
- Strong problem-solving skills and attention to detail.
