What are the responsibilities and job description for the Compliance Specialist position at Partnership Property Management?
We are seeking an experienced Compliance Specialist. This position is based in Greensboro, NC and will report to the Assistant Compliance Director. This role works in conjunction with Site Managers to process tenant certifications and ensure their accuracy. They carry a workload of 45 properties and approximately 1550 units.
Qualifications
- Knowledge with MS Office Suite including Outlook, Word, and Excel (including Excel functions)
- Ability to prioritize effectively in a fast-paced environment
- Excellent written and verbal communication skills
- Ability to multi-task within specific time constraints
- Excellent organizational skills and attention to detail
- Prior experience in ResMan software or other property management systems, a plus
- Prior experience with Section 8, RD, and Tax Credit programs a plus
Abridged Primary Responsibilities
Process Tenant Certifications (75%)
Check RD, Tax Credit, HUD, and HOME files for the following:
- Appropriate and necessary documentation
- Completed documentation
- Accurate computations of income, assets, deductions, utility allowances, & rent amounts
- Appropriate signatures of tenants and PPM employees
- Accurate dates of signatures and documentation
- Approvals from appropriate personnel involving credit/criminal reports, rent specials, rent to income ratios, & pet policies, etc.
- Pre-approve applications on Tax Credit sites
- Student approvals
- Input cert information into Resman & Multisite software
- Work closely with Property Managers and Site Managers to answer questions about files, regulations, lease log, and other topics.
- Notify site managers of missing/incorrect documentation that is needed to complete a file. Process items as they are received.
- When rental assistance has been assigned make certain the correct documentation is obtained for the tenant file.
- Update lease log as incomplete items, re-certifications, and new leases are received.
- Send out lease log reports to Directors and Site Managers when requested.
- Travel to sites to conduct training and assistance as needed.
- Notify tenants, Site Managers, and Property Managers of any changes to original rent calculations. Send letters out to confirm rent amounts and start date of updated rent amounts.
- Update Resident Systems of any changes made to certifications prior to transmission each month.
- Other duties as assigned by supervisor.
- Assist in updating of Tenant Selection Plans.
- Conduct and/or assist with classroom compliance training.
- Calculate income limits and maximum housing expense for all sites annually
Additional Duties (25%)
- Attend training sessions as directed by supervisor.
- Prepare paperwork for all HUD compliance reviews. Respond to agency review letters.
- Complete special projects requested by supervisor.
