Responsibilities
- Greet visitors and clients warmly, providing a positive first impression
- Manage multi-line phone systems, directing calls appropriately with professional phone etiquette
- Schedule appointments and maintain calendars using Microsoft Office, Google Workspace, or similar tools
- Handle data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize QuickBooks for basic bookkeeping tasks when necessary
- Support office management tasks including inventory tracking and supply ordering
- Assist with customer support inquiries via phone, email, or in person
- Maintain a clean and organized front desk area and reception space
- Perform administrative duties such as typing correspondence, managing emails, and supporting other clerical functions
- Support personal assistant tasks or medical receptionist duties as needed
Experience
- Prior office management or administrative experience preferred
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems and customer service roles required
- Familiarity with QuickBooks or bookkeeping is advantageous
- Previous experience in medical or dental reception is a plus but not mandatory
- Demonstrated organizational skills, time management, and attention to detail are essential for success in this role
