In this vital role, you will serve as the first point of contact for residents, vendors, and visitors, ensuring smooth office operations and effective communication across all channels. - Greet residents, visitors, vendors, and contractors at the front desk with professionalism and courtesy
- Manage multi-line phone systems, directing calls accurately and providing excellent customer support
- Handle data entry, filing, and record-keeping using Vantaca, Microsoft Office, Google Workspace, and QuickBooks for financial transactions and reports
- Maintain calendars for meetings, community events, and appointments, ensuring timely reminders and updates
- Assist invoice processing to support financial accuracy
- Support community communication efforts through proofreading notices, newsletters, and correspondence thru Constant Contact .
- Organize office supplies and manage inventory to ensure smooth daily operations
- Provide clerical support including typing, proofreading, and document management to ensure clarity and professionalism in all communications
- Proven experience in office management or administrative roles within a professional setting
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Exceptional phone etiquette with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse community members effectively
- Previous experience in customer service or receptionist roles such as dental or medical receptionist is a plus
- Knowledge of clerical tasks including data entry, filing, proofreading, and calendar management
- Strong time management skills with the ability to prioritize tasks effectively
