We are seeking a proactive and detail-oriented HOA Admin Assistant to join our community management team. In this vital role, you will serve as the first point of contact for residents, vendors, and visitors, ensuring smooth office operations and effective communication across all channels. Your organizational skills and customer service expertise will help foster a welcoming environment while managing administrative tasks with precision. This position offers an exciting opportunity to contribute to the well-being of our community through efficient office management and exceptional support.

  • Greet residents, visitors, vendors, and contractors at the front desk with professionalism and courtesy
  • Manage multi-line phone systems, directing calls accurately and providing excellent customer support
  • Handle data entry, filing, and record-keeping using Vantaca, Microsoft Office, Google Workspace, and QuickBooks for financial transactions and reports
  • Maintain calendars for meetings, community events, and appointments, ensuring timely reminders and updates
  • Assist invoice processing to support financial accuracy
  • Support community communication efforts through proofreading notices, newsletters, and correspondence thru Constant Contact .
  • Organize office supplies and manage inventory to ensure smooth daily operations
  • Provide clerical support including typing, proofreading, and document management to ensure clarity and professionalism in all communications

  • Proven experience in office management or administrative roles within a professional setting
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Exceptional phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse community members effectively
  • Previous experience in customer service or receptionist roles such as dental or medical receptionist is a plus
  • Knowledge of clerical tasks including data entry, filing, proofreading, and calendar management
  • Strong time management skills with the ability to prioritize tasks effectively
