Parkview Christian Preschool is a ministry of Parkview Church, which exists to glorify God through the whole church forming whole disciples of Jesus for the good of all people. The Preschool Administrative Assistant is the operational backbone of our school — ensuring that families are welcomed well, compliance is maintained, and the Director and teaching staff are freed to focus on children and curriculum. Role Summary This part-time role supports the Preschool Director in managing the business, regulatory, and logistical operations of the school. The ideal candidate brings administrative excellence and a servant’s heart to a ministry environment where attention to detail makes a real difference for families. This role serves the preschool during the academic school year (August - May). Primary Responsibilities Regulatory Support & Compliance --Maintain the Licensing Binder in support of the Director, ensuring fire marshal inspection records, health reports, and emergency drill logs are current and audit-ready. Regulatory compliance is the Director’s responsibility; this role provides organizational support. --Manage the i-PoWeR (Iowa Professional Workforce Registry) system for all staff, tracking background checks, physicals, and mandatory training hours (CPR, First Aid, Child Abuse Reporting) to ensure no record lapses. --Serve as a secondary point of contact with the Iowa Department of Health and Human Services (HHS) under the Director’s direction. Enrollment & Financial Management --Manage the inquiry-to-enrollment pipeline, including scheduling school tours, maintaining the waitlist, and processing registration paperwork. --Oversee tuition collection and invoicing through Procare, and assist with any state-funded childcare assistance (CCA) billing or grant administration. --Manage school supply and equipment procurement within established budget parameters. Communications & Front Office --Serve as the first point of contact for families regarding scheduling, billing, policies, and general school information. --Maintain the school’s internal communication platform (Procare) and assist with website or email newsletter updates as directed. --Maintain secure and confidential student files, including immunization records and emergency contact information. Leadership Support --Assist the Director in preparing agendas and documenting minutes for staff meetings. --Maintain the master school calendar, including holidays, conferences, and special events. --Provide general administrative support to the Director as needed. Requirements --Minimum of an Associate’s Degree; Bachelor’s degree preferred --Proficiency in Google Workspace (Docs, Sheets, Calendar) and comfort learning childcare management software (we use Procare) --Strong organizational skills and an eye for detail — especially for compliance tracking and record maintenance --Must pass all Iowa-mandated criminal and child abuse background checks Preferred Qualifications --Prior experience with Iowa HHS licensing requirements --Familiarity with Iowa’s Quality Rating and Improvement System (IQ4K) --Background in educational administration, business administration, or early childhood settings Competencies --Detail-oriented and proactive — able to anticipate needs before they become problems --Warm and welcoming presence with families, especially new and prospective families --Trustworthy with sensitive and confidential information --Comfortable managing multiple priorities and deadlines in a dynamic school environment --A genuine desire to serve within an early childhood context Faith Alignment The Preschool Administrator must be in alignment with Parkview Church’s Statement of Faith and committed to serving within a Christ-centered ministry environment.
