Job Description:
We are seeking a detail-oriented and proactive Project Manager Assistant / Office Assistant to support our Project Manager/Estimator and Office Manager. This role offers an exciting opportunity to contribute to a variety of construction projects through estimating, planning, and coordination.
The ideal candidate will have strong organizational and technical skills, construction knowledge, and the ability to manage multiple tasks in a fast-paced environment. This position is perfect for individuals looking to grow their career in construction management and project planning.
Key Responsibilities:
- Assist in preparing accurate project estimates and quotes using estimating software and Adobe Acrobat
- Support project managers with scheduling using Microsoft Word, Excel, and project management tools (Procore experience a plus)
- Coordinate with subcontractors, suppliers, and internal teams to ensure smooth project execution
- Maintain detailed documentation, including project activities, change orders, addendums, and schedules
- Prepare proposals, bid packages, and supporting documentation
- Distribute bid proposals to subcontractors and manage mark-outs
- Track insurance documentation for vendors and subcontractors
- Maintain drug and alcohol compliance programs
- Track company vehicles and equipment lists
- Coordinate employee training classes and certifications
- Manage LENS reports and related compliance documentation
Qualifications & Skills:
- Knowledge of construction management principles, contracts, and site safety protocols
- Experience preparing and submitting contract bids
- Strong time management and multitasking skills
- Excellent communication and teamwork abilities
- Proficiency in Microsoft Office (Word, Excel), Adobe Acrobat, and QuickBooks (preferred)
- Familiarity with overweight permits, HUT, and DMV registration processes (a plus)
- Basic administrative/office assistant experience
- Notary certification is a plus
