Job Summary
This position has a wide variety of responsibilities and tasks. The Office Coordinator is responsible for greeting and providing the public with information, both in person and over the phone. A warm and friendly personality is important. This employee should also possess good interpersonal skills to coordinate the needs and schedules of full and part-time staff.
Supervisory Responsibilities
The Office Coordinator is responsible for oversight of the building attendants.
Essential Job Duties
Includes, but not limited to the following. Other duties may be assigned.
• Greet all visitors courteously, attend to their needs and provide them with appropriate information.
• Answer telephones, respond to questions and record and relay messages to proper staff person.
• Assist with scheduling, registration and marketing of programs.
• Collect and record program fees, facility rental fees, record daily transactions and deposit money.
• Type letters and correspondence for staff on an as-needed basis.
• Maintain ongoing records of group attendance and other facility usage records.
• Maintain attractive reception area.
• Maintain mailing lists, volunteers, schools, newsletter and other groups as requested.
• Process transfers, refunds and other registration procedures as requested.
• Coordinate, schedule and process facility rentals, including birthday party rentals.
• Schedule local artists and assist with installation of exhibit.
• Process Dog Park registrations.
• Oversee the ordering of first aid and office supplies.
• Coordinate marketing and sale of honey.
• Prepare mailings
• Check, restock and update display areas.
• Distribute incoming mail and prepare outgoing mail.
• Input seasonal program information into registration software.
• Update seasonal programs on the website.
• Assist with interviewing and evaluating building attendants.
• Schedule, oversee and train building attendants.
• Assist with the coordination and rental of cross-country skis.
• Create and distribute program and rental surveys.
• Assist with the preparation of monthly and seasonal reports.
• Update office procedure manual as needed.
• Open and close nature center building.
• Set up and take down tables, chairs, and other equipment for room rentals. Assist renters with any needs.
• Preform basic custodial duties to maintain lobby, multi-purpose room, kitchen and bathrooms for public and rental use.
• Work after hours as needed.
• Perform other Park District related duties as assigned.
Education and Experience: High school diploma or equivalent with preference given to person holding a four-year college degree from a recognized college or university. Experience with cash handling. Three years’ experience in a customer service-related field.
Certificates, Licenses, Registrations: American Red Cross CPR/AED certification
Wage Range: $18.50-$21.00 per hour
Classification: Part-time IMRF/Non-exempt
Schedule: Tue 11:30am-5:00pm, Wed- Fri 10:30 am-5:00pm, Sat 9:00am- 3:00pm
