Duties
- Oversee daily office operations, including front desk management and multi-line phone systems to ensure seamless communication.
- Manage scheduling for meetings, appointments, and events, coordinating calendars for multiple team members.
- Supervise administrative staff and provide training & development opportunities to foster team growth.
- Handle vendor management by negotiating contracts, processing invoices through QuickBooks, and maintaining strong supplier relationships.
- Coordinate event planning activities such as staff meetings, client visits, and community engagement initiatives.
- Maintain accurate bookkeeping records, manage payroll processing, and assist with budgeting efforts to optimize financial resources.
- Oversee human resources functions including onboarding new employees, managing filing systems, and ensuring compliance with company policies.
Qualifications
- Proven experience in office management or administrative roles with supervisory responsibilities.
- Strong proficiency in QuickBooks for financial record-keeping and payroll processing.
- Excellent organizational skills with the ability to manage multiple schedules and priorities efficiently.
- Demonstrated experience in vendor management and contract negotiation.
- Background in medical office management or similar environments is a plus but not required.
- Exceptional communication skills paired with professional phone etiquette and customer service orientation.
