Position Description
The Administrative Coordinator is responsible for coordinating office activities and operations to ensure efficiency and compliance to agency policies for a productive work environment. This individual will have the ability to work independently but also consult with and support staff and leadership. The Administrative Coordinator is the keeper of the keys, the office supply cabinet and every resource for staff to do their jobs.
Essential Responsibilities
- Coordinate with office equipment vendors and contracted IT vendors to assure all equipment and staff computers needed to perform job duties are in working order, including the copier, company server and telephone system.
- Triage callers and guests by directing them to the correct department or resource. Complete new client interest form and pass along to appropriate program supervisor when necessary.
- Maintain a monthly inventory of office supplies and order supplies/Family Resource Center items as needed or requested by staff.
- Check the post office box and make bank deposits, regularly.
- Attend board meetings and functions as a board liaison. For Board meetings, send calendar invites, order lunch for meetings, and send board correspondence prior to meetings.
- Assist Executive Director and other members of the leadership team with daily needs and projects as requested.
- Assist programming staff with following up on client referrals, web inquiries and follow-up phone calls/letters to potential client families.
- Assist External Relations Director with preparing mailings and related correspondence associated with events, donor relations, and other fundraising activities.
- Assist with events as needed.
- Comply with all HIPAA Privacy and Security rules/laws.
- Normal office duties to support agency operations.
- Other duties as assigned.
Education, Knowledge, Skills and Abilities
- High school diploma or equivalent.
- Two or more years of office experience, preferably with a nonprofit.
- Proficiency in Microsoft products such as Word, Excel, PowerPoint, Outlook, etc.
- Experience with or ability to learn fundraising and accounting software such as Greater Giving or cloud-based donor software.
- Excellent written and spoken communication skills.
- Person of exemplary character who is committed to the mission of Parent Promise.
- Able to excel in a dynamic work setting with multiple projects and deadlines.
- Flexible, well organized and able to reorder priorities in response to new opportunities, needs, or unexpected obstacles. Takes initiative. Self-starter. Detail oriented.

- This position requires long periods of sitting at a computer, working flexible hours (including some evenings and weekends), lifting objects weighing up to 30 lbs, and proof of automobile insurance.
