What are the responsibilities and job description for the Legal Intake Specialist position at Pandit Law Firm?
Intake Specialist
The opportunity
Pandit Law Firm represents property owners in insurance disputes involving damaged homes and businesses. We are seeking a persuasive, proactive Intake Specialist who can build trust quickly and help qualified prospective clients take the next step toward hiring our firm.
This role combines compassionate client service with consultative sales. You will own the intake process from initial inquiry through qualification, follow-up, and completion of the engagement process. Success requires a strong sense of urgency, confident conversations, and consistent follow-through.
My Why
Most of our clients contact us during one of the most stressful moments of their lives. They may feel overwhelmed, unheard, or frustrated after being ignored or mistreated. By the time they reach out, they are looking for clarity, direction, and someone they can trust.
The Intake Specialist is often the first voice they hear and the first impression of our firm. That conversation matters.
This role is not just about signing cases. It is about making people feel heard, setting clear expectations, and ensuring the right clients receive the right help quickly and efficiently.
When intake is done well, clients feel relief instead of anxiety — and that sets the foundation for a successful case and a stronger firm.
Key responsibilities
· Respond promptly to new inquiries and missed calls. Make outbound calls to new and pending leads, prioritize time-sensitive matters, and meet the firm’s response-time standards.
· Guide intake conversations with confidence. Listen actively, acknowledge the caller’s concerns, and keep the discussion focused on the information and next steps needed to move forward.
· Screen prospective clients using the firm’s intake criteria. Collect claim details, insurance information, loss dates, prior payments, and relevant documents; promptly route questions about eligibility or deadlines for attorney review.
· Explain the firm’s services, intake process, and approved engagement terms clearly. Connect the prospective client’s needs to how the firm can help, using approved information.
· Ask qualified prospective clients directly to move forward. Identify hesitation, address common questions using approved guidance, and arrange attorney input when needed.
· Send approved engagement documents, explain how to complete them, and follow up on unsigned agreements and missing information until there is a documented outcome.
· Manage follow-up through calls, texts, and emails using the firm’s approved cadence. Give every active lead a clear next action and follow-up date; adjust the approach when a lead stops responding.
· Schedule consultations and send reminders. Follow up on missed appointments and coordinate a timely handoff of signed clients to the assigned legal team.
· Maintain accurate, current records in Litify. Document communications, lead status, outstanding items, next steps, referral sources, and reasons a lead does not convert.
· Close communication loops with prospective clients and coworkers. Confirm receipt, communicate what happens next, and follow through on commitments without repeated reminders.
· Flag stalled leads, intake bottlenecks, and urgent issues promptly. Participate in intake huddles, call reviews, and coaching to improve conversion and client experience.
What you bring
· Demonstrated success in a sales, consultative intake, admissions, recruiting, or similar role that required proactive outreach and moving prospects to a decision.
· Confidence asking for a commitment, addressing hesitation, and following up persistently and respectfully.
· A strong sense of urgency: you act quickly, manage competing priorities, and recognize that delayed contact can cost the firm a qualified client.
· Excellent verbal and written communication, professional phone etiquette, active listening, and the ability to guide a conversation.
· Empathy for people navigating stressful property losses, paired with the ability to keep the intake process moving.
· Strong organization, punctuality, accurate data entry, and reliable follow-through.
· Experience using a CRM to track leads, communications, tasks, and outcomes; comfort learning Litify and other firm tools.
· A results-oriented approach, willingness to be measured, and openness to direct feedback and coaching.
Preferred experience includes law firm intake, insurance claims, property damage matters, or another professional service where prospective clients need clear explanations and thoughtful follow-up.
How you will work
You take ownership of the lead pipeline each day. You review new inquiries and overdue tasks, contact leads promptly, and follow through on outstanding agreements and documents. You can explain where each active lead stands, what is preventing progress, and what you will do next.
You balance persuasion with sound judgment. You communicate honestly, respect a prospective client’s decision, protect confidential information, and follow firm-approved scripts and procedures. Questions requiring legal advice, case valuation, or a decision to accept representation go to an attorney. You do not promise outcomes or create artificial pressure.
How success is measured
Performance will be evaluated against firm-established targets for:
· Speed of first response and timely completion of scheduled follow-up.
· Contact rate and conversion of qualified leads into signed clients.
· Timely completion of engagement documents and reduction of stalled intakes.
· Accuracy and completeness of Litify records and handoffs to the legal team.
· Call quality, client experience, and adherence to approved intake procedures.
We are looking for someone who enjoys earning a prospective client’s trust, is comfortable asking for the next step, and takes personal responsibility for keeping qualified opportunities moving.
