What are the responsibilities and job description for the Student Affairs Coordinator position at PALMER COLLEGE FOUNDATION?
The Student Affairs Coordinator is responsible for providing general administrative and program support for the Student Affairs division including Registrar, Financial Planning, Student Services, Academic Support, Recreation and Career Services, ensuring all staff have adequate support to run smoothly and efficiently.
Specific Duties and Responsibilities:
- Serve as the primary front desk receptionist for the Student Affairs Division, greeting and assisting students, faculty and visitors.
- Respond to inquiries via phone, email, and in person, triage and route inquiries to appropriate staff or departments.
- Provide general information regarding student services, policies, and procedures.
- Maintain a student-centered atmosphere and ensure efficient, courteous service at all times.
- Provide administrative support to the Student Affairs Division, including scheduling, calendaring, correspondence, meeting preparation, and filing.
- Assist with data entry, database updates, and documentation for departments.
- Provide notary services to students, employees, and alumni.
- Maintain office supplies, forms, shared calendars, and common spaces for the division.
- Support preparation of reports, presentations, and division-wide communications.
- Support student events, workshops, and student-facing programs by assisting with logistics, room reservations, and communications.
- Utilize the Student Information System and Financial Aid Management System to update student records, service tickets/tasks, and forms.
- Maintain electronic files, forms, and templates for efficient record-keeping.
- Perform other duties as assigned
Minimum Qualifications:
- High School diploma
- Minimum of one year of clerical/office support experience.
- Experience answering multi-line phone systems, screening calls, and taking clear and concise phone messages.
- Experience using personal computers, various software programs including Microsoft Office Suite, and other general office equipment, including copy and fax machines.
- Regular and reliable attendance is required to meet the essential functions of this job.
Desired Qualifications:
- Associate's degree in business administration or related field preferred
- Basic level of finance/accounting knowledge and/or experience preferred.
- Notary Public a plus
Physical Requirements and Work Environment:
- Frequent need to stand, stoop, walk, sit, lift objects (in excess of 20 pounds) and perform other similar actions during the workday
- Perform sedentary to light work in a ventilated, lighted, and temperature-controlled office setting
