Provides administrative support in the Veterinary Clinical Operations Section of Animal Care and Control. Responsible for performing a variety of administrative duties and clinical tasks, including medical record keeping, data entry, reporting, scheduling, medical inventory, supportive assistance, and customer service. Handles medical-related phone calls and inquiries, schedules medical appointments, coordinates with other Division staff, assists with clinical inventory-related tasks and the routine maintenance of medical equipment, compiles data and reports for data-\driven decision-making, assists with project and event planning, and maintains office supplies and equipment. Runs occasional errands when necessary. This position requires excellent verbal and written communication skills and exceptional interpersonal skills to work closely with internal team members, partnering agencies, contracted and non-contracted supply and service providers, fosters, adopters, and the general public. Employee is expected to complete work duties as assigned and be organized, detail-oriented, professional, customer service-oriented, and reliable. This position entails working very closely alongside other staff members during collaborative tasks and coordinating efforts; however also regularly works independently. Complicated situations would be routed to a Manager or Veterinarian as needed for follow-up planning and action. Work is performed under the general direction of the Clinic Operations Manager and is reviewed through conferences, written reports, and observation of results obtained.
QUALIFICATIONS
This position requires qualified applicants to possess the following:
- Graduation from high school or an equivalent recognized certification; minimum of one (1) year of experience in general office and clerical work.
Preferred qualifications include (must specify on application):
- Experience in scheduling appointments and data entry,
- Two (2) years of experience in customer service,
- Experience with responding to concerns and inquiries via phone, e-mail, and in person, and de-escalating concerned customers,
- Experience using Microsoft Office,
- Experience navigating distributor ordering sites and account portals and using inventory management programs,
- Experience working with animals in a veterinary setting,
- Experience working in the medical field, and/or using medical devices and equipment, and
- Knowledge of County procurement processes.
